Job Title: Program Coordinator Department: Office of Pediatric Surgical Evaluation and Innovation | Department of Orthopaedics | Faculty of Medicine

The Program Coordinator plays a vital role in the Office of Pediatric Surgical Evaluation and Innovation, overseeing all aspects of educational and research activities. This position requires a highly organized and detail-oriented individual who can manage multiple tasks and priorities effectively.

Key Responsibilities:
  • Manage and facilitate strategic projects and initiatives within Pediatric Surgery, maintaining objectives and timelines, communicating updates, and developing solutions to obstacles.
  • Fundraise and prepare granting applications with corporate and industry sponsors and charitable donors in support of the OPSEI mission.
  • Write and edit fundraising materials and informational documents, including reports and updates on project status.
  • Plan events for Continuing Medical Education (CME) activities, global health, research, journal clubs, and academic rounds.
  • Facilitate residents, fellows, and students in meeting their goals with respect to conducting research projects, applying for grant funding, and providing guidance on the publication and presentation of results.
  • Develop, analyze, and review literature findings relevant to clinical research projects.
  • Collaborate with investigators and other related disciplines to assess requirements of research projects.
  • Coordinate and maintain research project plans and timelines.
  • Present project progress and summaries to investigators, performance goals with respect to funding applications, and data collection.
  • Manage study protocols, ensuring timelines, actions, and deliverables are congruent with studies approved by the ethics committee.
  • Facilitate operational linkages and networks within and among co-investigators, clinic directors, physicians, and other healthcare professionals within the hospital and academic healthcare community provincially, nationally, and internationally.
  • Facilitate and troubleshoot recruitment of subjects throughout the studies.
  • Prepare and facilitate submissions to the ethical research review process and respond to reviewers' recommendations as required.
  • Facilitate the OPSEI Undergraduate Research Program and provide guidance to research trainees in preparing abstracts and posters for submission at scientific meetings and articles for submission into academic journals.
  • Participate in strategic planning and facilitate implementation into daily practice.
  • Draft newsletters and write annual reports.
  • Prepare a final budget report on completed projects.
  • Manage trainee evaluations, ensuring that feedback processes are timely and facilitated through technology.
  • Investigate and identify new technologies for continuing medical education, make recommendations on new courses to faculty and teaching personnel, and facilitate the development of educational goals/programs.
  • Attend and participate in committee meetings as required.
  • Develop agendas, items for discussion, maintain project records and updates, brief the Executive Director on all aspects of activities as needed, ensure policies and procedures are followed, and take action resulting from these meetings.
  • Facilitate and coordinate divisional and departmental reviews for the clinical department of pediatric orthopaedics.
  • Liaise with instructors, consultants, internal and external organizations.
  • Provide leadership and act as a resource for all administrative functions.
Requirements:
  • Undergraduate degree in a relevant discipline.
  • Minimum of two years of related experience, or an equivalent combination of education and experience.

Preferred Qualifications:
  • Undergraduate degree in a relevant discipline.
  • University degree in business is preferred.
  • Minimum of two years of experience or the equivalent combination of education and experience.
  • Experience in a university or healthcare environment is preferred.
