About the position

Responsibilities:

  • Provide comprehensive support to the DSVP, such as managing their schedule, arranging travel logistics, organizing meetings, documenting minutes, handling expense reports, drafting correspondence, and more.
  • Support the team by managing confidential documents, coordinating hospitality services, preparing meeting agendas, compiling document packages, tracking timesheets, and handling supplies and inventory.
  • Facilitate project meetings by scheduling, reserving rooms, setting up equipment, and sharing meeting agendas.
  • Offer ongoing technical assistance to the team, including supporting new employees with onboarding processes.
  • Engage in special projects, update project documentation, and assist with various tasks as needed.
  • Coordinate and provide on-site support for departmental and offsite events, including fundraisers and staff gatherings.
  • Generate reports, create presentations, and manage documents using PowerPoint, Word, and Excel.
  • Assist in the annual budgeting activities.
  • Provide backup support to fellow Executive Assistants.


Qualifications:

  • College diploma in administration or secretarial studies, or equivalent experience
  • Minimum of 5 years of relevant experience
  • Demonstrated business proficiency and professionalism
  • Advanced skills in MS Office applications (Word, Excel, PowerPoint)
  • Ability to manage multiple priorities and meet deadlines
  • Excellent written and verbal communication abilities
  • Bilingual proficiency in French and English, with the need to interact with English-speaking clients and colleagues
  • Eligibility to work in Canada without prior Canadian work experience
