Administrative Assistant

Contracts & Supply Chain Management

Regular, Full-time

Purpose

Reporting to the Manager of Contracts & Supply Chain Management, the Administrative Assistant provides a wide range of administrative support and acts as the first point of contact for the department.

Responsibilities

Duties include, but are not limited to:


•Liaising with employees, faculty, students, public and vendors in person and through the generic department email;


•Administrating employee spend authority;


•Managing credit card administration for University employees;


•Setting up vendors in accounting software;


•Editing department website pages;


•Maintaining vendor insurance documents;


•Archiving digital contracts;


•Processing of catering and room booking credit card payments;


•Updating and maintaining spreadsheets and preparing reports; and


•General administrative duties (e.g., reception duties, scheduling & coordinating meetings, correspondence, maintain office supplies).

Qualifications

The successful candidate will possess the following:


•A one-year certificate in office administration together with a minimum of three years of related work experience, preferably in a purchasing environment;


•Demonstrated achievement of an intermediate level of proficiency with Word and Excel. Experience working in databases, i.e. accounting software, and creating forms in Adobe or equivalent is a strong asset;


•Ability to work independently and able to prioritize work in an environment with frequent interruptions and often conflicting deadlines; and


•Exceptional customer service and written and spoken communication skills.

An equivalent combination of education and experience will be considered.

Salary

This position has been classified at a Grade 6. The annual salary range for this position is $58,858.80 to $61,279.40 and the normal starting salary will be $58,858.80
