Job Summary

RBC Dominion Securities is seeking a highly skilled Administrative Support Specialist to provide exceptional administrative support to a successful Advisor Team(s). The ideal candidate will possess administrative experience, exceptional communication skills, and a focus on delivering outstanding client service.

Key Responsibilities
  • Prepare account opening documentation and ensure timely completion.
  • Follow up on documentation with clients or back office as required to maintain accurate records.
  • Monitor client trades to ensure proper settlement and delivery, and address any discrepancies promptly.
  • Maintain current knowledge of client accounts by reviewing daily activity online and relevant reports.
  • Manage pending plan transfers to ensure proper settlement and delivery.
  • Schedule portfolio reviews and prepare client review materials, correspondence, and reports.
  • Utilize contact management systems for daily task management and client record-keeping.
  • Assist in filing and preparing mailings, such as seminars, newsletters, and information packages.
  • Perform various administrative functions, including reviewing incoming mail and answering telephone calls.
Requirements
  • Administrative experience with a focus on client service.
  • Exceptional communication and interpersonal skills.
  • High attention to detail and ability to work under pressure meeting strict deadlines.
  • Experience using Microsoft Office and proficiency in Excel.
  • Exceptional organizational skills and ability to prioritize tasks effectively.
Preferred Qualifications
  • Completion of the Canadian Securities Course (CSC) and Conduct & Practices Handbook (CPH) is an asset.
  • Financial industry knowledge and experience.
  • 1-2 years of experience in the investment industry.
  • Proficiency in Excel and ability to analyze data.
