Job Summary

This position's primary duties involve developing, delivering and evaluating communications strategies and tactics, as well as advancing institutional and portfolio priorities. This position is responsible for developing and implementing initiatives to enhance the donor/alumni experience and brand and reputation of the portfolio. This could entail project research, evaluating and synthesizing information received, reviewing processes, creating and implementing materials for the web, print, video and social media platforms.

The Communications Coordinator functions in a fast-paced and dynamic unit responsible for managing a high-volume of communication needs, integrated communications planning, campaign implementation, and event programming and delivery that impact the university's reputation.

Organizational Status

Reports to the Manager, Proposal Writing & Communications and interacts with management and staff within the Development and Alumni Engagement Portfolio.

Work Performed

  • Delivers internal and external communication initiatives, including communication material for newsletters, emails, events, intranet, website, signage, social media, print, and video.
  • Researches speakers and topics for Development & Alumni Engagement programming
  • Determines workflow and project management
  • Responsible for writing and designing communication materials.
  • Maintains UBC and DAE Brand standards, across all channels.
  • Regularly reviews web content to evaluate effectiveness, quality, accuracy, timeliness, consistency, and relevance
  • Engages with a wide breadth of stakeholders, including development and alumni staff to ensure a timely, relevant and mutually beneficial flow of relevant information.
  • Participates in the strategic conceptualization of projects, responsible for the implementation of these projects. Establishes project timelines, milestones and deliverables. Manages project progress, liaises as necessary, and ensures timelines are met. Follows up and takes-action as necessary to help ensure project targets are met.
  • Documents best practices and recommendations.
  • Developing existing and new graphic design work, managing social media, creating content, and monitoring use
  • Other duties as assigned.

Consequence of Error/Judgement

Works within well-defined guidelines and procedures. Expected to exercise initiative and good judgment when establishing priorities and completing tasks. New or unusual problems should be referred to his/her supervisor. As the department works with confidential information, must respect the confidentiality of information handled. Errors in judgment and lack of diplomacy could potentially compromise the Development and Alumni Engagement portfolio.

Supervision Received

This position works independently under direction of the Manager, Proposal Writing & Communications receiving direction on objectives and strategies and then working alone and with others to accomplish them in a timely manner. They must be a self-starter as well as multitasker as the unit is fast paced, high energy with high-profile, high-risk demands.

Minimum Qualifications

Undergraduate degree in a relevant discipline. Minimum four years of related experience, or the equivalent combination of education and experience.

Preferred Qualifications

Experience in communications within a large, complex institution preferred. Previous experience in communications or agency environment would be an asset.

Demonstrated ability to take initiative and ensure accuracy and attention to detail.

Expert use of Microsoft 365 (Excel, Outlook, Word, Teams and PowerPoint), Adobe Creative Suite (InDesign, Photoshop and Illustrator), and WordPress (HTML skills). Ability to work independently and within a team environment.

Superior oral and written communication, organizational and interpersonal skills.

Ability to work collaboratively and exhibit a positive demeanour and service orientation toward all audiences.

Technologically fluent and proven ability to adopt new technologies. Ability to generate professional presentations, reports and research.

Ability to handle confidential and sensitive material and to exercise a high level of tact, discretion and judgment.

Ability to work effectively with all levels of staff within the organization. A superb multitasker with the ability to prioritize high volumes of work.

Ability to communicate effectively and tactfully with faculty, staff, students and other external audiences in providing and obtaining information.
