Job Description

Wage range: $ $30.12 per hour (to commensurate with experience and consistent with UHN Compensation Policy)
Hours: 15 Hours per Week
Status: Temporary Part-Time (End Date ~ September 6, 2024)

Job Summary

The principle responsibilities of the Administrative Assistant II include: administrative support of the project team including the project manager; assisting with journal/conference submissions; efficient coordination, organization and scheduling of meetings, webinars and teleconferences including generating agendas and recording accurate minutes; assisting the project coordinators and web developer with administration of the online Self-Assessment Surveys; coordinating and scheduling chart reviews and interviews; assisting with organization of knowledge transfer activities; responding to telephone calls and fielding inquiries appropriately; corresponding and communicating effectively with clients, team members and internal and external stakeholders; general office management including typing, documentation, and filing; collecting and compiling various project information as required; assisting with data entry; accurate tracking and submission of payroll; supporting the development of project plans and development; other related administrative duties, as assigned by the Manager, Project Manager and other relevant team members; understanding of, compliance with, and commitment to, patient safety responsibilities and corresponding hospital plans, policies and procedures in order to ensure a safe environment for patients including managing equipment as required

Duties

  • Performing word processing/typing services for assigned personnel
  • Providing support with small and/or informal meetings/events
  • Maintaining written and/or electronic calendar/schedules
  • Maintaining and modifying electronic and paper information filing/retrieval systems methods, and/or formats
  • Performing routine budgetary support functions
  • Providing functional supervision to lower classified clerical position(s)
  • Ensuring the efficient operation of the Department
Qualifications
  • Completion of a recognized post secondary secretarial arts program at the certificate level or equivalent
  • Two (2) years related secretarial experience
  • Previous on-the-job computer/word-processing, database and spreadsheet software experience required; experience in a Microsoft Office environment
  • Excellent organizational and time management skills
  • Excellent interpersonal and customer service skills
  • Excellent verbal and written communication skills
  • Ability to work well under pressure, multitask and use good judgment in assessing difficult situations
  • Ability to maintain confidentiality
  • Experience working in a Health Care environment, an asset
  • Ability to produce high quality work in accordance with Hospital standards
  • Ability to work well under pressure
  • Ability to use good judgment in assessing difficult situations
  • Strong knowledge of general office practices, procedures and standards
