**Operations and Administrative Assistant**

This role provides operations, administrative, and event support to the Faculty's Dean's Office portfolios, ensuring day-to-day activities run smoothly and efficiently.

Job Description

The Operations and Administrative Assistant will provide a full range of administrative support and duties associated with the Faculty and in the Dean's Office, including:

• Providing administrative support to the Executive Coordinator to the Dean and the Operations team
• Coordinating events, meetings, and mailrooms
• Maintaining photocopiers, mailrooms, and other office equipment
• Providing general assistance to faculty, staff, and students
• Supporting the Operations team in the loading bay and shipping/receiving zones
• Welcoming guests and providing insightful responses to queries
• Coordinating access for visitors and monitoring card inventory
• Maintaining electronic records and inventories
• Performing other related duties and responsibilities as required

Responsibilities

• 50%: Dean's Office Administrative Support
+ Provides administrative support to the Executive Coordinator to the Dean and the Operations team
+ Coordinates events, meetings, and mailrooms
+ Maintains photocopiers, mailrooms, and other office equipment
+ Provides general assistance to faculty, staff, and students
• 50%: Operations Team Support
+ Supports the Operations team in the loading bay and shipping/receiving zones
+ Welcomes guests and provides insightful responses to queries
+ Coordinates access for visitors and monitors card inventory
+ Maintains electronic records and inventories

Requirements

• High School graduation, plus one year of related training, plus two years of related experience, or an equivalent combination of education and experience
• Willingness to respect diverse perspectives, including perspectives in conflict with one's own
• Demonstrates a commitment to enhancing one's own awareness, knowledge, and skills related to equity, diversity, and inclusion
• Experience in the use of standard computer applications such as MS Word
• Experience in the maintenance of photocopiers is desirable
• Ability to work under pressure to meet deadlines
• Ability to maintain accuracy and attention to detail
• Ability to exercise tact and discretion
• Ability to work effectively independently and in a team environment
• Ability to work flexible hours Monday to Friday
