Job Description:

We are seeking a proactive and organized Executive / Personal Assistant to support our CEO and ensure smooth day-to-day operations. The ideal candidate will be highly adaptable, detail-oriented, and skilled in managing multiple tasks efficiently. This role is pivotal in supporting our leadership team, maintaining a professional environment, and contributing to a dynamic workplace culture. Occasional travel may be required to attend shows, conferences, or meetings.


Key Responsibilities:

  • Provide Executive Support: Deliver comprehensive administrative support to the CEO, including managing daily schedules, coordinating meetings, and handling correspondence.
  • Calendar and Email Management: Assist in organizing and maintaining the CEO’s calendar, scheduling meetings, and ensuring prompt responses to emails.
  • Travel Coordination: Plan and arrange travel itineraries, including flights, accommodations, and reservations, ensuring a seamless travel experience for the CEO and other executives.
  • Event Planning: Support in planning and executing events, including booking venues, coordinating catering, and managing registrations.
  • Document Management: Organize, maintain, and secure both electronic and paper files, ensuring easy access and confidentiality.
  • Meeting Coordination: Organize meetings and conferences, prepare agendas, take detailed minutes, and ensure follow-up on action items.
  • Confidentiality: Maintain a high level of discretion and confidentiality in all matters.
  • Personal Assistant Duties: Provide personal assistance to the CEO, including managing personal appointments, running errands, and assisting with other personal tasks as needed.
  • General Support: Assist the executive team with various tasks, including coordinating logistics for meetings, preparing necessary materials, and providing support for day-to-day activities to ensure smooth operations.
  • Other Duties: Take on additional responsibilities as required to support the leadership team and company objectives.


Qualifications:

  • Proven experience as an Executive Assistant or Personal Assistant, supporting senior executives (preferred); however, recent graduates from business programs are also encouraged to apply.
  • Strong organizational and time management skills with the ability to prioritize effectively
  • Excellent written and verbal communication skills
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
  • Ability to work independently and collaboratively in a team environment
  • A valid driver's license and access to a vehicle is required
  • Ability to handle sensitive information with the utmost confidentiality
  • Strong problem-solving skills and attention to detail
  • Willingness to travel occasionally for shows, conferences, meetings, or other company-related events


Job Details:

  • Employment Type: Full-time
  • Schedule: 40 hours per week
  • Benefits: PTO, Dental, Extended Health, Disability Insurance, Life Insurance, and Vision Care (after 3 months)
