Human Resources (HR) Administration Services provides HR administration services for payroll and workforce administration for employees in North America.


Job Summary:

As a member of the North America Payroll Services team, the Payroll Coordinator will assist with day-to-day payroll and administrative duties. Payroll coordinators must have good communication skills to interact appropriately with clients, HR staff and other employees to meet their needs. In this high-volume and fast-paced team you will be working against tight deadlines with high volumes of work. This job reports to the Payroll Manager for Canada.


Brief Overview:


  • This is very much an admin role. Data entry, checking information, audit, etc. The bulk of it is data entry and auditing. Entry level role.
  • End to end payroll for all of Canada.
  • Experience in doing payroll in different provinces for Canada.
  • Will train on internal payroll system (Global View) but would like candidates who have prior experience would be great, but not required.
  • Basic payroll admin role. Checking errors that come through and resolve. Answering questions. Etc.


  • Canadian Experience. Required.
  • Background – Ok with smaller company experience but prefer someone with higher volume payroll or larger companies.
  • Industry – No preferences on industry.
  • Technology – MS office – (specifically Excel)


Mix of automation and integrations, feeding into the payroll system. This person will need to troubleshoot errors with integration. Some things have to be processed manually—such as terminations, any adjustments that happen occasionally. The payroll pretty much runs-on its own unless certain scenarios happen, such as those mentioned.


High volume of things. Little down time.


Head down, keyboard, processing role.

  • 1-3 years of full cycle Canadian payroll processing experience

Specific duties include:

  • Assist the Payroll Manager and team; participate in the accurate and timely payroll processing on a semi-monthly frequency for approximately 13,000 employees in 10 provinces within 10 companies
  • Process daily transactions from Inbound Interface from Workday, third-party vendors; review integration error reports, correct missing date directly in ADP Globalview
  • Manually update payroll system based on AskHR cases assigned to payroll
  • Reconcile and report payments, initiate EFT funding requests
  • Assists with Sox audit document preparation and walkthroughs
  • Investigate and respond to Payroll Tier 1B escalated cases in Salesforce according to designated SLAs
  • Attends trainings and workshops as directed
  • Works OT occasionally (around year end, to support audits, busy periods, etc.)


Payroll Processing - 70%

  • Review of daily PECI (Payroll Effective Change Interface) integrations between Workday and ADP GlobalView). Monitor transactions and make manual adjustments in ADP GlobalView when errors occur. (Changes include but not limited to new hires, employee transfers, incentive pay, voluntary and involuntary deductions, tax changes, voluntary and involuntary terminations, STD, LTD, paid and unpaid leaves of absence, overpayment adjustments, etc.)
  • Prepare documentation to support the calculations and adjustments that impact the gross to net payroll including regular pay (salary), incentive payments, one-time payments, termination pay (voluntary & involuntary), vacation on termination, leave payments, overpayments & recovery, voluntary deductions, garnishments, employee tax set-up
  • Be familiar with how to review inbound integrations from Workday, third-party vendors or other business units (i.e. commissions, benefits, equity, charitable deductions, pension plan etc.)
  • Be familiar with how to review inbound PICOF file (time off and overtime) from Workday and adjust in payroll system if needed
  • Create record of employment (ROE) (Canada only)
  • Perform basic reconciliations and analysis in Excel or other systems
  • Prepare batch files to load into payroll
  • Create on-demand checks and EFTs for off-cycle payments or payroll corrections
  • Check and reply to the mail from the government regarding current and former employees’ information in a timely manner when requested



Tier 1B NA and HRAdminNA emails and ASKHR Cases – 20%

  • Research, resolve and respond (written and verbal) Tier 1B payroll inquiries from HR Call center via case management tool Salesforce within agreed upon SLAs
  • Monitor HRAdminNA mailbox and respond to business unit inquiries
  • Sort, route and process scanned or physical mail related to payroll


Payroll Governance and Controls – 10%

  • Verify payroll data for reasonableness and compliance
  • Maintain payroll documentation and procedures as required for internal and external audit compliance
  • Other responsibilities as assigned


Qualifications:

  • 1-3 years of full cycle Canadian payroll processing experience
  • Two-year degree or equivalent combination of education and experience
  • Strong sense of logic and an aptitude for mathematics
  • Working knowledge of payroll processing, tax principles, wage & hours legislation
  • Large selection of Canadian provinces a plus
  • PCP with NPI (National Payroll Institute) an asset
  • Experience with HR system like Workday, PeopleSoft, Oracle
  • Experience with large third-party payroll providers like ADP, Ceridian, UKG
  • Experience with ADP GlobalView (as a processing services client) a plus
  • Excellent time management skills with the ability to focus in a busy environment
  • Good verbal & written communication skills
  • High attention to detail, accuracy, efficiency, and ability to handle multiple priorities
  • Ability to follow complex verbal & written direction and instructions (SOPs) without deviation
  • Ability to work under pressure against tight deadlines
  • Able and willing to participate in Teams, Zoom, Webex or other conference platforms on camera

This is hybrid role requiring in-office attendance at our Waterloo office from Tuesday-Thursday each week.
