MISSION

The Director, Finance and Administration is a key member of the leadership team that will empower and lead the finance, administrative, payroll and human resources teams. The successful candidate will play a pivotal role in the day-to-day finance and administrative operations, including financial reporting and analysis, internal controls and auditing, compiling semi-annual reports to the Ministry funders, and preparation, submission and monitoring of the annual budget, as well as identify and implement strategic improvement initiatives.

PRIORITIES

  • Establishes and oversees financial control and reporting mechanisms.
  • Provide leadership in maintaining high functioning staff teams and oversee all administrative and operational functions pertaining to staff and the programs, including overseeing and providing direct supervision for management of Admin and Human Resources and finance and payroll staff.
  • Manages the administration of all financial records, accounting processes and monthly accumulative and annual financial reports and statements.
  • Conducts expenditure variance analysis and updates rolling annual forecasts.
  • Presents budget proposals to the Board of Directors for review and approval.
  • Represents the agency in contact with external auditors, representatives of banking institutions, and related government agencies.
  • Participates in ongoing communication and negotiation with the Agency’s various funding bodies and provides finance-related reports as necessary to funders during the year.
  • Authorizes agency expenditures within established limits.
  • Provides expert advice and recommendations to the Executive Director and Board of Directors regarding financial matters and decisions.
  • Provides the lead staff resource to committees of the Board of Directors, as required.
  • Oversees the renewal of insurance coverage.
  • Oversee the admin, payroll, and HR processes and all related reporting functions.
  • Provide advocacy and structural leverage for staff team, around issues of equity and social justice.
  • Support and sustain values of decolonization and racial justice as central to the work, and seek interventions that advance leadership of those most impacted by harmful systems.
  • Other duties as assigned.
Requirements

TALENTS & EXPERTISE
  • Minimum three (3) years experience working in a not-for-profit, government-funded organization in a finance management or executive leadership role.
  • Bachelor’s Degree in Commerce, Finance, Business Administration or related field.
  • Chartered Professional Accountant (CPA) designation is required.
  • Knowledge of government and funder agency structures, procedures and reporting.
  • Expert knowledge of financial planning, financial management and accounting/ financial reporting systems and procedures to manage the agency’s fiscal and business affairs.
  • Excellent planning and administration skills to effectively manage diverse and specialized support services for the agency.
  • Expert knowledge of accounting and payroll software with experience in SAGE and Ceridian or ADP.
  • Demonstrated conceptual and analytical skills to participate in the development of strategic and operational plans and policy recommendations.
  • Superior communication skills including the ability to succinctly convey complex ideas to create clarity with diverse audiences with varying levels of issue expertise and understanding.
  • Experience with payroll processing and financial reporting.
  • Experience to represent the agency with external contacts and to provide advisory services to the Executive Director, Board of Directors and committees of the Board.
  • Ability to provide sage advice to directors and managers in the preparation and monitoring of operational budgets.
  • Strong people management with experience in building, motivating, mentoring and coaching a diverse high-performing team.
  • Demonstrated ability to work in a respectful and aware manner with groups from diverse backgrounds and experiences.
  • Highly developed technical and analytical skills with ability to use expert level judgment for strategic thinking and problem solving.
