Our client is a well-known security services company in BC. We are looking for a Director of Special Events to join their team.
This position is responsible for the overall performance and operations of the Special Events Department. He or she will spearhead and oversee the planning and execution of various events, ensuring everything runs smoothly and efficiently. This includes setting goals and guidelines, managing schedules and timelines, outlining plans and strategies, coordinating managers, supervisors and other departments, and liaising with vendors and suppliers. This individual will lead and encourage staff to reach goals while implementing and promoting the company's policies and regulations, including its vision and mission.
Responsibilities:
- Manage the Special Events Department.
- Maintain, develop, and create processes and procedures to improve or maintain efficiency of the department.
- Execute client contractual obligations, including security program development and execution.
- Monitor communications between managers and new clients requesting Special Event services, ensuring proper documentation, quotes, and payment details are all imputed and tracked in Salesforce.
- Ensure the delivery of high-quality customer service through monthly contact with major clients, Event Managers, and Supervisors.
- Ensure the proper coverage is scheduled and confirmed.
- Evaluate service quality and initiate corrective and preventative action as necessary to managers in the department.
- Ensure key stakeholder meetings regarding venue operations are being completed.
- Plan, assign and delegate work to include appropriate follow up and oversight.
- Provide opportunities for team members to grow by active mentorship and allowing them to demonstrate their skills.
- Oversee the proper execution of existing software platforms ensuring accurate and up to date data is entered.
- Communicate frequently with the Vice President to ensure he or she is up to date with operations within the Special Events Division.
- Ensure the company's core values are understood and embodied by each employee.
- Monitor progress against short and long-term business objectives.
- Coach, mentor, and administer staff performance reviews and carry out disciplinary actions.
- Ensure quarterly supervisor meetings/training are being conducted with a proper agenda and plan.
- Monitor support staff to make sure hours are adhering to the proper ratio and budget amounts.
- Assist with processing payments of ad-hoc events where applicable.
- Communicate with the Finance Department to ensure they are receiving the proper updates regarding payments and invoices from events.
- Assist with preparing and disseminating deployments for events.
- Ensure plans are in place for equipment preparations and transportation to events through monitoring of Account Managers and Field Operations Managers.
- Communicate with management of any changes to working hours, including altering daily schedules to facilitate event shifts.
- Ensure the senior management team are aware of any major incidents that happen at event venues or outside events.
- Maintain a friendly, professional, and close working relationship with co-workers, executives, and management through co-operative and effective communication.
- 5 - 8 years of experience as a director or manager in the security or events industries.
- Strong operational experience.
- Exemplary communication skills, ability to work under pressure, work well with others and project manage.
