Payroll & AP Coordinator

Who are we looking for?


Natural Forces is seeking an Accounts Payable and Payroll Coordinator. This is a full-time position based at our head office in downtown Halifax. The primary responsibilities of the role will be:

  • Manage all payroll activities for the organization.
  • Collaborate with all departments to ensure employee information and details are up to date.
  • Manage invoice and purchase order approval workflows.
  • Ensure timely and accurate invoice posting to GL.
  • Ad hoc duties as required.


Key Tasks and Duties


Payroll and Benefits Administration

• Process bi-weekly payroll for Canadian employees.

• Collect and process timesheets for hourly employees.

• Respond to payroll related inquiries and resolve related issues as necessary.

• Verify, maintain, and organize payroll information and documentation.

• Company benefit plan administration.

• Retroactive pay adjustments as required.

• Prepare quarterly RRSP cheques.


Employee Records Management

• Process employment changes, system terminations and records of employment.

• Assist in annual preparation of T4’s, T4A’s, RRSP adjustments and T2200s for year-end balancing.

• Update WCB rates with payroll provider.

• Report and track annual vacation balances and bookings.

• Maintain electronic payroll files as required.


Accounts Payable Accounting

Prepare invoice payment reports for review.

• Process invoices accurately with support from accounting team.

• Update and maintain vendor database.

• Ensure invoice and purchase order processes are documented and adhered to.

• Respond to vendor questions regarding invoices and payments.


Skills and Qualifications

  • Post secondary degree or equivalent in business administration, accounting, or payroll administration.
  • 3+ years of experience in a similar role.
  • Experience using Microsoft Excel to summarize and organize raw data.
  • Experience in construction environment considered an asset.
