The Opportunity

RVS invites applications for a temporary, full-time (35 hrs/wk) Administrative Assistant II - School position at Glenbow Elementary School, starting March 31, 2025 until June 9, 2025. Glenbow Elementary School is located in the Town of Cochrane and serves French Immersion and English students from grades K-4. The Administrative Assistant II - School is responsible for a variety of office administration and clerical duties to support school staff, students, parents, and community members across Rocky View Schools (RVS). Reporting to the Principal, the Administrative Assistant II School provides excellent service to callers and visitors, maintains accurate student records, supports the schedules of the school administrators, and provides administrative support as assigned.

Responsibilities Include
  • Maintains student permanent records, school records, student enrolments, attendance, and month-end reports using various data management programs in a confidential manner
  • Creates a variety of written documents in a professional manner as required

    Schedules appointments, books meeting rooms, and communicates with participants in a timely manner as required
  • Assists with orientation of new school staff
  • Organizes and facilitates school announcements

  • Provides excellent service to school staff, students and the public, including answering and directing phone calls in a courteous and professional manner
  • Greets substitute teachers and substitute support staff and provides necessary resources
  • Prepares, distributes, collects, and categorizes various school forms
  • Accepts, distributes and expedites mail, couriered and delivered items
  • Collaborates with team members to identify efficient work flow in the school office
  • Completes a variety of clerical duties in a fast-paced work environment by assigned deadlines
  • Supervises students in the infirmary
  • Supports the financial duties, and other administrative tasks as required
  • Supports the administration of the community rental of the school/facility as required

Education/Experience

  • Certificate or diploma in office management, business administration, or a related field
  • Two or more years experience in an administrative assistant role in an office environment
  • Previous experience with customer service in a fast-paced environment
  • Previous experience within a school division and/or with Student Information Records Systems is considered an asset
  • An equivalent combination of Education and Experience may be considered

  • Outstanding communication and customer service skills
  • Highly effective organizational and prioritization skills
  • Demonstrated ability to deal with a variety of complex and sensitive issues professionally and in a timely manner
  • Ability to successfully work in a team environment as well as independently with minimal supervision
  • Ability to think critically and deal with changing priorities in a fast-paced environment
  • Proficient in Microsoft Office Suite and web-based applications
