For Sunwing Airlines, we are looking for a Departure Control & Facilitation Administrator to join us in making vacation dreams come true. The Departure Control and Facilitation Administrator is a detail-oriented full cycle administrator, responsible for regulatory compliance and operational efficiency. The term for this position is on a contract ending June 1st 2025. Reporting to the Manager, Systems & Special Operation and will be located in Toronto, Ontario.

What You’ll Do:
  1. Monitor Sunwing’s secure flight data
  2. Proactively inform stations when resolution calls will be required
  3. Support departmental relationships with government agencies, tour operator, and company personnel as required
  4. Ensure compliance with Advanced Passenger Information System Regulations (APIS), confirm message transmission to customs authorities
  5. Manually upload and transmit APIS information for ad-hoc charter flights
  6. Dispute fines with supporting research
  7. Engage regularly with frontline airport staff and Security regulators to ensure security compliance
  8. Act as decision maker for passenger admissibility when requested by airport
  9. Conduct resolution calls with Canadian Interactive APIS support desk and US Secure Flight Vetting Centre as required
  10. Keep accurate records of all correspondence
  11. Operate and manage numerous applications and systems simultaneously
  12. Prepare, maintain and update files, records, as required
  13. Create Seat Splits for multi-sector flights
  14. Ensure Stations are utilizing only those seats assigned to them, for the departure, arrival and crossover sectors
  15. Ensure compliance with Sunwing’s Ground Handling Manual (GHM), assist ground handling staff with various questions related to company policy
  16. Ensure all Quality Control Messages (QCM’s) are uploaded into the Sunwing Operations Website
  17. Categorize cabin crew flight reports (CCFR’s) and enter into the Sunwing Operations Website
  18. Ensure all flights are properly loaded into the System; assign the aircraft tails and pre-vet all flights
  19. Ensure PNL is successfully uploaded into Airline Choice and distributed to the necessary systems
  20. Monitor to ensure submission of all pre-departure and post-departure APIS messages
  21. Manually format southbound APIS information and upload it to Airline Choice for certain flights, vet passengers and transmit the passenger APIS
  22. Assist stations and Sunwing staff with DCS functionality questions
  23. Ensure proper entry of document information - particularly passengers with secondary travel documents
  24. Other duties as assigned
What You’ll Need:
  1. Fluent in spoken and written English (Bilingual; Spanish/French) an asset
  2. Must be able to obtain a Transport Canada security clearance
  3. Understanding and operational knowledge of the airline industry, including practical experience of airline operations.
  4. Ability to meet short deadlines
  5. Ability to organize and prioritize, including multi-tasking and time management
  6. Strong leadership and people management skills
  7. Attention to detail
  8. Flexibility and personal time commitment – available to work on a rotating 24/7 schedule
  9. Ability to maintain confidentiality
  10. Always proactive, innovative, and thrive in a fast-paced changing environment
