Key Responsibilities:

  • Administration of firm policies and procedures
  • Provide administrative support to HR manager and assist with multiple ongoing projects
  • Coordinate internal and external resources to expedite workflow
  • Provide backup for reception: Answering calls, taking messages, and redirecting calls
  • Participate in the firm's Health & Safety and Social committees
  • Support in onboarding and offboarding staff
  • Key contact person for building facilities and issues
  • Plan and prepare for staff functions and events
  • Maintain recordkeeping system for files, contacts, and staff
  • Other duties as assigned

Education and Experience:

  • Postsecondary education certification preferably Business Administration or a similar field
  • A minimum of 2 years as an Administrative Assistant (or similar role) within a professional services environment, ideally at a law firm
  • Superior organizational skills, with the ability to proactively problemsolve and manage competing priorities
  • Strong professional presence and conduct
  • Established knowledge of Office 365 (e.g., Word, Excel, PowerPoint)
  • Ability to work in a fastpaced environment, with strong attention to detail
  • Superior oral and written communication skills with a collaborative and diplomatic operational style
  • Excellent organizational skills; ability to prioritize, handle competing tasks and ability to meet urgent deadlines
  • Demonstrated ability to work independently and to collaborate successfully in a team environment
*Must have a valid driver's license and access to a reliable vehicle.
