Administrative Assistant of Northgate Baptist this is the pursuit you will have as an individual and as a staff member.

The desire of Northgate Baptist Church is to have an effective ministry that is pursuing these goals as we go into the future.


Working together with staff and senior leadership of the church, the Administrative Assistant will serve as the main office support coordinator in the areas of office administration, pastoral support, communications, facilities use and local outreach.

Reporting to the Associate Pastor, the Administrative Assistant provides administrative support for the fruitful growth of every ministry of the church.


Responsibilities

Office Administration (70%)

  • Provide support for community members requesting assistance by using the Benevolent Fund and available food as per Care Team policies and procedures
  • Document visitor cards and pass on contact information to the Pastors
  • Maintain official church documents and database ensuring proper security and backups
  • Maintain a list of church members and adherents on behalf of the Church Clerk
  • Distribute incoming and outgoing mail
  • Pay invoices on behalf of the Finance Team
  • Manage Petty Cash for incidental expenses under the supervision of the Treasurer
  • Attend weekly staff meetings
  • Support ministries with computer work, photocopying, etc. as needed
  • Schedule and contact teams for hospitality, coffee, greeters, presentation, music.
  • Oversee the purchase of office and kitchen supplies

Communications (25%)

  • Design and print weekly bulletins and bulletin inserts
  • Develop Order of Service, Announcements and presentations with pastors and distribute
Announcement slides and songs (proclaim)

  • Maintain a calendar of events outlining the times and locations of church programs & events
  • Manage church mailboxes and church directory, printing new versions periodically
  • Coordinate the use of church bulletin boards

Facility Responsibilities (5%)

  • Coordinate facility use by ministries, members and adherents together with Trustees, pastors and maintenance worker and maintain a calendar of bookings for church facilities
  • Manage church security including provision for keys and codes on behalf of the Trustees/Board
  • Coordinate legal and licensing requirements with the City of Edmonton
  • Maintain office equipment (computers, furniture, photocopier, etc.) on behalf of Trustees/Board

Education and Experience
Related administration experience or equivalent combination of education and experience. Previous administrative experience with a church or a Christian agency preferred.
