  • Time Executive Strategic Assistant**. You will be part of our fantastic team and report directly to the President. You'll be part of a team of experienced and passionate people who believe in continuous development and work hard behind the scenes to help its students thrive in Canada. The key responsibility is to provide confidential administrative support to the President and coordinate highly confidential information and documentation flowing to and from the office of the President, ensuring accurate and timely delivery of administrative services and keeping the President apprised of issues and activities. The Executive Strategic Assistant must be _Efficient, Proactive, Aligned and Strategic_

Job responsibilities:

  • Provide professional and confidential administrative and executive support to the President.
  • Interacts with senior leaders, managers/directors, external stakeholders, and administrative support staff across the organization to convey information and promote positive and respectful relationships.
  • Assisting staff involved in the delivery of a wide range of reception services and provides advice and guidance on practices and procedures. Coordinates the CICCC Executive Team meetings and departmental heads meetings.
  • Manage calendars, contact databases, document signing requirements, and travel plans.
  • Participate in daily/weekly meetings to review ongoing and upcoming work requirements.
  • Prepare a weekly status report for the President.
  • Manage the processing of monthly corporate expenses.
  • Coordinate and facilitate activities related to donations and sponsorships.
  • Receives incoming requests for appointments with the President from various department heads, senior staff, instructors and schedules meetings and resolves scheduling conflicts; responds to routine requests, attends to enquiries from internal and external stakeholders, outside agencies or representatives.
  • Developing and managing performance for the Reception.
  • Coordinates travel arrangements, functions, events, and senior executive meetings; assists with overall program planning, meeting room layout, and catering; attends sessions to record key content and action items; retrieves, compiles, and distributes reference material for meetings and records Meeting Minutes.
  • Act as a point of contact between the President and internal/external clients.
  • Prepare and organize materials for meetings and presentations.
  • Handle confidential information with discretion.
  • Assist in event planning.
  • Perform other duties required by the management team.

Supervision Received
Works independently and in collaboration with the President. The performance is evaluated for efficiency, effectiveness, achievement of objectives, and quality of work.

Supervision Given
None, however, may provide general training/explain the work sequences to new team members.

Qualifications

Minimum Qualification:
High School degree. A diploma in business administration or public administration is a plus.

Preferred Qualifications:
A minimum of 5 years of related experience in senior-level Executive Support roles

Advanced computer skills with proficiency in Word, Excel, PowerPoint, and Outlook.
