Facilities Administrator, Local 28.

The Facilities Administrator will work directly with Manager, Facilities Engineering in supporting department operations.

Qualifications:

  • Education: Diploma in Business Administration or related field
  • Experience: Entry level position
  • New graduates welcome to apply.
  • All successful applicants must meet requirements for Canadian Controlled Goods Program (CGP), Canadian Government Security clearance, and U.S. International Traffic in Arms Regulations (ITAR)._

Key Responsibilities:

  • Document Management:


o Maintain employee information library for new and existing staff to gain access to relevant department and organization information, tools, processes, etc.

o Organize and maintain Facilities & Maintenance department administration file directory.

o Populate our Facilities Information Center directory with all relevant record documentation.

o Optimize user experience for finding documentation by developing improvement initiatives to existing filing systems.

  • Department Communications:
o Maintain Facilities & Maintenance SharePoint page content.

o Optimize department communication strategy to promote the services Facilities & Maintenance provides to Irving Shipbuilding Inc.

o Coordinate Facilities & Maintenance department All Hands Communication meetings.

o Coordinate department reporting presentations.

  • Administrative Duties:
o Coordinate development of annual financial budget documentation and ensure accuracy of financial data reports.

o Perform the following functions for rental properties and blanket service contracts:
o Enter and update Requisitions for Purchase Orders

o Validate Invoices

o Other Administrative tasks to support Facilities Engineering.

  • Process Management:
o Coordinate new process development and updating of existing processes for Facilities Engineering team.

o Weekly reporting on department key performance indicators.
