Position Overview:


As the Bookkeeper/Administrative Assistant, you will be responsible for handling minor day-to-day accounting duties while working alongside our Senior Accountants and other accounting staff.

You will also be responsible for day-to-day admin tasks such as file and record keeping, responding to various requests for information, and working with the senior management team on certain tasks as assigned.

As the Bookkeeper/Administrative Assistant, you will be directly reporting to the Director of Sales.

Responsibilities:

  • Prepare purchase orders in QuickBooks Desktop
  • Enter invoices, bills, and bill payments into QuickBooks Desktop
  • Keep track of account payable and accounts receivable
  • Payment collection from overdue invoices
  • Assist with inventory management
  • Check accuracy and validity of invoices and documentation
  • Prepare reports for management as required
  • Enter expenses in Quickbooks Desktop
  • Work with the remote accounting team to ensure smooth accounting operations
  • Organize and maintain paper and digital files
  • Greet incoming customers and direct them accordingly as per their needs
  • Follow up with previous customers to confirm customer satisfaction and request reviews
  • Preparing meeting rooms for meetings
  • Other administrative and bookkeeping duties as assigned

Knowledge, Skills, Abilities, and Other Requirements:

  • Knowledge of Microsoft Systems, especially Excel
  • Knowledge of QuickBooks Desktop
  • Knowledge of accounting principles
  • Excellent organizational skills
  • Excellent problemsolving skills
  • Strong communication skills
  • Able to work independently
  • Able to effectively multitask

Working Conditions:

  • Sitting for prolonged periods of time
  • Using the computer for prolonged periods of time

Experience:

  • 1 year Bookkeeping experience an asset, but not required
  • 1 year Administrative Assistant/Customer Service experience required

Education:

  • Completed degree or diploma in business, psychology, English, accounting, or similar required

Job Type:

  • Fulltime permanent
  • Monday to Friday, 9:00 a.m. to 5:00 p.m.
