JOB SUMMARY

ORGANIZATIONAL STATUS


Works closely with and reports to the Senior Manager, Academic Initiatives and Administration in the Faculty of Science on Faculty-wide projects and initiatives; provides advice to senior academic leaders including the Dean, Department Heads and administrators, as well as to individual faculty members; and liaises with Faculty Relations, the Provost's Office, Campus and Community Planning and other central service offices.


WORK PERFORMED


This position will spend approximately half the time managing Faculty-wide academic activities for the Dean, and half the time managing project activities.


Responsibilities include but are not limited to:


Manages the Faculty's promotion and tenure review; liaises with Faculty Relations; advises department administrators, Heads and Directors on process, appropriate documentation and interpretation of SAC guide; reviews and assesses complex case files for compliance and completeness; ensures that Department and Science procedures and recommendations comply with University guidelines; refers complex problems to Senior Manager, Academic initiatives or Assistant Dean, HR.


Participates in development and delivery of training workshops on faculty promotion and tenure or other activities; develops and implements administrative policies, standardized practices and procedures in the Faculty of Science; identifies needs and recommends actions in support of effective administration as it relates to academic processes in the Faculty.


Manages formal academic projects such as Head searches and external Departmental reviews for the Dean in accordance with formal UBC policies and procedures; advises the Departments on process and requirements; coordinates the selection of the necessary committees, preparation of the interview visits and related arrangements, and the solicitation of confidential feedback; directs Departments staff with preparations.

Manages the various Dean's advisory committees (eg: Dean's Advisory, FOS Promotion and Tenure, Strategic planning) activities and memberships.

Working closely with the Senior Manager, Academic Initiatives, participates in the development of short
- and longer-term project plans for a range of large-scale initiatives including new research centres and buildings, faculty hiring clusters; external site activities: manages processes or activities necessary to support the creation and implementation.

Manages the Dean's Office CUPE admin staff coverage to ensure sufficient onsite coverage.

CONSEQUENCE OF ERROR
Diplomacy and discretion are essential.

If confidentiality is mishandled or breached, or if there is an error in judgment, professional and academic careers may be affected.

Disseminating incorrect information would greatly impact the reputation of the Dean and the Faculty as a whole.

Failure to meet deadlines or lack of planning and organization could adversely impact the reputation or advancement of the Faculty.


SUPERVISION RECEIVED
Reports to the Senior Manager, Academic Initiatives and Administration. May also receive work direction from the Dean or others on the Dean's leadership team. Works autonomously under general oversight. Work is reviewed in terms of sound management practice and effective achievement of specific objectives.

SUPERVISION GIVEN
May provide work direction to Dean's executive assistant or other Dean's office support staff; advises and trains departmental staff

MINIMUM QUALIFICATIONS
Undergraduate degree in a relevant discipline. Minimum of two years of related experience, or the equivalent combination of education and experience.
