KEY ACCOUNTABILITIES:

  • Assisting in the execution of the hospital's communications strategy including developing, monitoring and maintaining stakeholder lists for communications activities and distribute information as required.
  • Designing newsletters and promotional materials, including soliciting content and coordinating printing and translation, ensuring correct use of visual identity, liaising with hospital departments and external partners to coordinate special event logistics and promotional materials (posters, programs etc.) for internal and external events.
  • Acting as the liaison with staff and other partners to support website administration, social media activities, external marketing and photography needs.
  • Providing administrative support for Fund Development and Strategic Communications and Public Affiars including maintaining confidential information related to hospital operations and donors; database management and recognition activities such as the timely distribution of tax receipts and thank you letters; providing general office administration for payroll and attendance reporting, entering and tracking program expenditures and donation revenue, procurement (ordering office supplies, preparing requisitions etc.); scheduling and organizing meetings, taking and producing minutes as required.
  • Creating and distributing of a variety of program documents and correspondence (letters, memos, charts, reports and presentations) using a variety of software packages including Word, Excel, Powerpoint, Publisher.
  • Participating in or leading projects or work groups/committees as required, for example Accreditation, newsletters, health and safety etc.

REQUIREMENTS/QUALIFICATIONS:

  • Postsecondary education in a relevant field of study such as Office or Business Administration, Graphic Design, Marketing, Communications, Public Relations
  • Knowledge of Microsoft Office and databases is preferred
  • Past experience in a communications or fundraising program assistant role preferred
  • Results oriented work ethic to work independently and undertake tasks needed to accomplish work objectives and deliver quality, consistent and timely results
  • Demonstrated leadership, conflict resolution, interpersonal and organizational skills
  • Proven written and verbal communication skills
  • Proven ability to adapt readily to change

  • Preference for proficiency in French/English language skills
