General Position Description:
This position is responsible for managing the schedule and communication of the Vice President of Operations. Plays a crucial role in supporting the responsibilities of the Vice President of Operations.
To be successful in this role you must be well organized, have great time management skills, and must be able to act without guidance.
Key Responsibilities:
- Manage calendars, ensuring that meetings, appointments, and events, are well organized and efficiently coordinated.
- Provide daily briefings of the daily schedule.
- Handling incoming and outgoing phone calls.
- Organize and maintain records ensuring that they are readily available.
- During meetings, take notes, track action items, and facilitate smooth communication.
- Compiling data to prepare papers, spreadsheets, and presentations.
- Organizing documents, maintaining records, and taking notes at meetings.
- Assist in the daytoday responsibilities held by the Vice President of Operations.
- Coordinate travel arrangements.
- Planning and organizing events.
- Conducting research and creating reports on various topics.
- Maintain a high degree of discretion and confidentiality.
Knowledge, skills, and work experience requirements:
- Exceptional attention to detail
- Communication and interpersonal skills
- Ability to conduct research and create reports or presentations
- Time management
- Ability to learn quickly
- Ability to handle sensitive information with discretion
Excellent computer skills
- Microsoft Office
Educational Requirements:
Post-secondary education such as a bachelor's degree or a college diploma
Degrees in business administration, secretarial studies, or industry-related an assets.
1-2 years experience in the area of responsibility is preferred, but not a necessity
Flexible Language Requirement:
- French not required
