About the Role

The Executive Assistant to the Territorial Secretary for Business Administration Office is responsible for delivering highly confidential administrative support, ensuring smooth day-to-day operations of the Business Department. The EA organizes and manages territorial business meetings and events involving executive personnel.

Key Responsibilities:

Coordinate day-to-day management of the TSBA (Territorial Secretary for Business Administration) office:

  • Oversee TSBA's office operations for optimal efficiency
  • Provide confidential administrative support to TSBA, Assistant TSBA, and other leaders
  • Assist in various administrative tasks including preparing documents, coordinating meetings, and managing correspondence
  • Create presentations, proposals, and brochures for boards and councils
  • Manage filing systems and retrieve relevant files as needed
  • Handle voucher preparation and invoice processing
  • Act as a liaison between executives, staff, and external parties
  • Assist in managing employee-related matters
  • Conduct research when required

Support effective management of business meetings:

  • Arrange and coordinate meetings for various committees and leaders
  • Manage logistics, planning, and agenda development for meetings
  • Coordinate travel and accommodation arrangements
  • Record meeting discussions and distribute minutes

Manage the flow of information to/from the TSBA's office:

  • Screen incoming communication and take appropriate action
  • Prioritize urgent matters in the absence of the TSBA
  • Manage visitors to the office
  • Maintain confidential files and handle correspondence
  • Manage office inquiries

Manage time and resources of TSBA:

  • Handle TSBA's calendar and schedule appointments
  • Coordinate all travel arrangements
  • Provide necessary information for appointments and meetings

Manage the national Video Licensing program:

  • Handle master renewal lists and negotiate rates with studios
  • Assist in billing processes
  • Resolve questions and issues regarding the program

Miscellaneous:

  • Organize social events within the Business Administration Services section
  • Participate in various committees and groups
  • Provide direction in case of emergencies

Qualifications and Education Requirements:

College Diploma in Business AdministrationUniversity degree in related field preferredMinimum of 10 years of administrative experience

Preferred Skills/Capabilities:

Quickly grasp the structure and procedures of The Salvation ArmyDemonstrate maturity, proactiveness, and professionalismExcellent communication and organizational skillsStrong ability to handle confidential informationProficiency in MS Office applications

Compensation

The salary for this position ranges from $43,894 to $65,842 based on market conditions and candidate qualifications.
