JOB SUMMARY


The role of Reception/Administrative Assistant will perform a variety of administrative support functions within the Administrative team, such as answering general inquiries related to the organization, various record management tasks, ordering of office supplies, distribution of incoming mail, faxes and other internal correspondence.


DUTIES AND RESPONSIBILITIES

  • Receives, records, sorts, and distributes incoming and outgoing mail, faxes, donations, internal correspondence, and courier documents for the office.
  • Supports Human Resources and other members of the Administrative team with onboarding of new hires and record management duties such as assembling employee files and client archived files and records.
  • Arranges and organizes meeting rooms, conference calls, and special events, as required, including ordering of supplies, food arrangements, and printing materials.
  • Places supply orders with external suppliers, receives supplies and distributes accordingly. Keeps an inventory record for future supply orders. Checks invoices when applicable against orders and supplies received. Contacts suppliers to obtain and/or provide general information when needed.
  • Other duties as required.

QUALIFICATIONS

Education, Training and Experience

  • Certificate in Office Administration;
  • Recent related experience of one year
Or an equivalent combination of education, training, and experience

Or other Qualifications determined to be reasonable and relevant to the level of work

OTHER REQUIREMENTS

  • Clear criminal record check through the Solicitor's General Office
  • Uptodate on Provincial immunization schedule
  • Proof of COVID19 vaccination
  • Negative TB test

Vaccination Notification:

As of October 12, 2021, only applicants that are fully vaccinated (7 days past their second dose of vaccine) are able to work in the facility.

If you are offered employment it will be contingent on you providing proof of vaccination prior to commencement of the offered effective date.

Evidence of continued compliance with the Province's immunization and tuberculosis control programs.
