Job Summary

In this role, you will serve as the initial point of contact for the Department of Physics and Astronomy, handling receptionist duties and providing administrative support in the General Office. Reporting to the Assistant to the Chair, you will be a key resource person, responding to inquiries from students, faculty, and the public through various channels and directing them appropriately.

Your responsibilities will include general office support, organizing materials, assisting with graduate matters, managing the departmental library, coordinating events, producing newsletters, handling purchasing and accounting tasks, and other related duties as required.

Job Requirements

Skills:

  • Ability to handle receptionist duties effectively and professionally
  • Capacity to work independently as well as part of a team
  • Strong communication skills with the ability to interact diplomatically with various stakeholders
  • Good organizational skills, capable of multitasking in a busy office environment
  • Proficient in general office procedures

Specialized Knowledge/Education:

  • Proficiency in clerical tasks using various software applications
  • 1-3 years of relevant experience in a general office setting
  • Familiarity with basic web editing is advantageous
  • Experience with University systems such as BANNER, FAMIS, Chrome River, and FAST Student Reporting is a plus

Experience:

  • At least one year of secretarial experience or equivalent combination of education and experience
