Position Summary:
Reporting to the Administrative Officer, the incumbent will be responsible for the promotion and presentation of a consistent brand of the Institute

through the website and social media, and various prizes and the academic program. Foster long-term relationships with internal/external constituencies through various programs and communication strategies. Maintain good rapport with staff within the faculty/department/unit, the University community and external constituencies. Produce reports and statistics. Responsible for the preparation and delivery of event and communications materials relating to event. Provide communications support, including the writing of publicity and

promotional material and funding proposals. Respond to public and university inquiries. Oversee the maintenance and update of the unit's websites. Ensure that Facebook, Twitter and other social networks are appropriately created and maintained. Liaise with speakers for the annual conference and other MISC events. Participate in special projects and in any other related duties. Publishes brochures and distributes regular newsletters / event updates using Envoke.

Primary Responsibilities:

  • Perform and organize activities to support the daily operations of the unit by ensuring that administrative services are carried out in accordance with established goals and objectives.
  • Implement administrative procedures or systems that are moderately complex in support of the faculty, department or unit's operations and ensure activities meet or exceed established quality requirements.
  • Research, write and edit short articles, biographies, press material, and bibliographies.
  • Verify facts to ensure accuracy of the information.
  • Edit and proofread documents in various stages of production.
  • Compile statistics and data for inclusion in reports. Update documents and reports, either in print or on the website.
  • Plan meetings, conferences, luncheons and fundraising events. Record and distribute minutes.
  • Prepare and administer budget related to events.
  • Select external suppliers for events and catering and ensure costs are within established guidelines and budget.
  • Prepare and disseminate information concerning events through documentation, website, and posters.
  • Create a variety of multimedia products using specialized software and graphic programs.
  • Assist in the design of websites, maintain content and produce social media feeds (e.g. Facebook, Twitter, YouTube), while ensuring information is accurate and complete.
  • Respond to requests for information or interviews from the media or forward them to the appropriate person.
  • Establish and foster effective working relationships by identifying needs and providing support in the delivery of services.
  • Assess and resolve problems. When appropriate, inform supervisor and formulate recommendations.
  • Attend meetings.
