Job Overview:
The Executive Medical Administrator is a key role within our administrative team and at ArtMed.

Often as the first point of contact for patients, he, she or they must provide superior customer service with a welcoming and positive attitude.

Exceptional communication skills, particularly in written form, and attention to detail are critical and multi-tasking efficiently under pressure is an essential skill.

The Executive Medical Administrator must always exhibit a friendly, calm manner and demonstrate professionalism. 5-star customer service is an absolute priority.

The Executive Medical Administrator will work collaboratively with the clinical team including doctors, nurse practitioners, nurses, laser technicians and assistants as well as the business team including the Medical Director, Brand Manager and Clinic Manager.

A cooperative and supportive attitude is critical in our team-based working environment.

Duties:

  • Manage front desk duties, including greeting patients, answering inquiries, and scheduling appointments.
  • Maintain electronic medical records accurately and securely.
  • Lead communicator from management to Admin team.
  • Work collaboratively with your admin team to create a collegial work environment
  • Facilitate and optimize communication between members of the administrative team
  • Educate clients on all aspects of what ArtMed does, including aesthetic treatments, skincare, and medical services.
  • Take responsibility for administrative scheduling.
  • Take initiative to improve and optimize administrative team processes and ensure Standard Operating Procedures are followed to make for better workflow and consistency.
  • Be the first "Back-Stop" for difficult clients before escalating to the clinic manager.
  • Provide consistent communication with the management team and delivery of new initiatives to the admin team, identify challenges and provide solutions for moving forward.
  • Undertake select duties of the clinic manager to provide coverage for vacations/ sick days as needed.
  • Exhibit enthusiasm, dedication and loyalty to your team, your colleagues and the company
  • Offer leadership by bringing new and exciting ideas to streamline processes.

Qualifications:

  • Proficiency in using office software and phone systems.
  • Knowledge of medical terminology is a plus.
  • Familiarity with MDWare or other electronic medical records systems is advantageous.
  • Strong administrative skills with attention to detail.
  • Excellent communication and interpersonal abilities.
  • Ability to prioritize tasks and work efficiently in a fastpaced environment.
  • Excellent written and verbal English communication.

  • At least 5 years of administrative experience
  • Willingness to learn and take initiative
