Role Responsibilities
-
Office Administration:

  • Order office supplies for the People Services team as required.
  • Arrange maintenance activities for the People Services offices.
  • Schedule of team meetings, including meeting room bookings, meal ordering, material creation and meeting set up.
  • Manage incoming and outgoing mail and send courier packages and registered mail for People Services team as required.

Recruitment Administration:

  • Receive, review and file recruitment action requests.
  • Submit postings to the Al-Pac website, intranet, and external job boards.
  • Receive and file applicant resumes.
  • Conduct prescreen and first round interviews as required.

Management Guide & Intranet Management:

  • Update and upload organizational charts.
  • Maintain and update People Services information on Intranet.
  • Administration of the annual Management Guide review process for the People Services team.

General Administration:

  • Code and process invoices for People Services.
  • Reconcile purchase card transactions.
  • Upload and file documents in Content Manager.

Relocation Administration:

  • Administration of the relocation assistance program including mortgage loan processing, invoice coding, etc.
  • Coordinate relocation activities with new hires and liaise with vendors on relocation activities.
  • Arrange for temporary accommodations for new hires and process invoicing where applicable.

LMS Administration:

  • Add new hires to the internal LMS (TRACCESS).
  • Compliance reporting and followup on People Services owned mandatory training.
  • Resetting training folders.

Role Requirements

  • Bachelor of Business Administration, Management, and/or or HR diploma is preferred.
  • 13 years' experience in an HR Administrator or similar role is required.
  • Considered an asset:
  • Forestry background or experience is an asset.
  • Previous experience using an HRIS is an asset.
  • Strong communication skills, both written and oral, including presentations.
  • Knowledge of HR practices, research, and innovations.
  • Excellent knowledge of Microsoft suite of products (Excel, Word, Outlook, Power Point, etc.) and Adobe.
  • Possesses tact, diplomacy, and ability to maintain confidentiality.
  • Strong organizational and time management skills.
  • Knowledge of relevant legislation including Alberta Employment Standards and Alberta Human Rights.
