THE ROLE

  • Provide Administrative Support to the Director and Manager
  • Act as a liaison for the Appleby College Parents' Association (ACPA) to coordinate various event needs from internal departments
  • Provide support for pre, onsite, and postevent planning and organization of schoolrelated events/meetings
  • Assist with the recruitment, training and coordination of event and program volunteers
  • Contribute to the development of event and resource materials
  • Attend meetings and events as required to maintain awareness of Appleby programs and foster positive community relations
  • Assist with event setup, execution, and dismantling
  • Assist with the coordination and tracking of sponsorships including prospecting, acquisitions, agreements, and fulfilment for applicable events
  • Source vendors and event suppliers for applicable events
  • Track and receive auction items, donations, prizes and other giftinkind items for applicable events
  • Input and maintain event data in Raiser's Edge (CRM) to ensure proper event management and tracking
  • Assist with the coordination of postevent functions including thank you letters and tax receipts
  • Work with ACPA to update and manage Parents Criminal Record Checks and Declaration Forms
  • Coordinate Parent Volunteers for the New Parent Buddy program and other events

WHAT YOU BRING

  • Postsecondary education preferably in Events and/or Business Administration or related field
  • Administrative and events experience
  • Exceptional organizational skills with a keen attention to detail
  • Strong written and oral communication skills
  • Ability to work collaboratively in a teamoriented environment
  • Excellent relationship management skills
  • Ability to work on several projects concurrently
  • Must demonstrate flexibility to adapt to changing event priorities and deadlines
  • Proven sound judgment and ability to maintain confidential information
  • Solid ability with the

Microsoft Office Suite:
Word, Excel, Power Point and Outlook

  • Working knowledge of Raiser's Edge or any CRM is an asset
