Campus Life & Engagement
Campus Life & Engagement (CL&E) supports all McGill students by connecting them to resources and creating meaningful opportunities for involvement.
They guide students in navigating the McGill student experience through orientation and transition programming and by providing student life opportunities across campus for students to develop their interests and skills.
- Position Summary:
- Support CL&E team in accessing IT and technical support persons in the training of others (students, staff) in the use of specialized software and/or systems for meetings and/or events. Work closely with colleagues in CL&E, receives pertinent information concerning events, prepare and maintain the annual CL&E calendar of events so that the incumbent is empowered to plan events and all related logistics, including room bookings and liaise with other staff to organize complementary activities (IT, catering, etc.). Plan all aspects of events (trainings, presentations, workshops, meetings, conferences, seminars, etc.), including venue, room setup, technological needs, registration, follow-up, etc. Support CL&E in promoting orientation and sponsorship opportunities on-campus.
- Major Responsibilities:
- Organize activities to support the daily operations of Campus Life & Engagement (CL&E) by ensuring that administrative services are carried out in accordance with established goals and objectives.
- Develop/program/implement a booking system for both office space and conference rooms to support incoming orientation activities.
- Liaise with internal stakeholders (i.e., Student Services Communications group, Office of the Executive Director) to ensure collaboration, cooperation and uniform messaging for events.
- Develop expertise and offer support and training to staff members related to the use of McGill videoconferencing systems and software, particularly with respect to the delivery of hybrid programming.
- Assist facilitators with setup of McGill videoconferencing systems and software.
- Receive and process requests for event space planning and communications with the requesting unit.
- Organize facilities and administer all details for events such as decor, catering, entertainment, transportation, location, invitee list, special guests, equipment, promotional materials, etc.
- Make travel arrangements and provide administrative support, as required.
- Draft and documents processes & procedures to be followed in order to host an event (develop checklists, milestones to be achieved, etc.).
