Position Summary

Admin Assistant - Cancer Care

This exciting position combines responsibilities to support the Breast Cancer Integrated Care Collaborative (ICC) and to provide administrative support to the Program Director, Ambulatory and Cancer Care Program.

As part of your responsibilities to the Breast ICC, you will be coordinating and supporting multidisciplinary tumor board rounds for Breast, Gastrointestinal and Urology rounds.

You're also a great relationship builder, and communicate effectively with colleagues, staff, volunteers and families.

You are highly organized, able to succeed in a fast paced environment, and are eager to engage with new challenges every single day.

You also have excellent interpersonal and customer service skills, are able to work independently and are able to effectively prioritize and multi-task.

You will also take on the shared responsibility for ensuring that health and safety policies are followed to provide for a healthy environment for patients, staff, physicians, volunteers and families.


On a practical level, you will

  • Provide administrative support to the Program Director, Ambulatory and Cancer Care
  • Provide administrative support to the Breast Integrated Care Collaborative
  • Manage and coordinate Breast, Gastrointestinal and Urology tumor board rounds
  • Effectively manage time and balance schedule of Program Director, Ambulatory and Cancer Care
  • Provides specialized administrative support using demonstrated judgement, initiative and independence to assist the Program Director in achieving program and organizational objectives.
  • Ability to work effectively across diverse interprofessional teams
  • Coordinate efforts across cross functional/program teams to ensure timely delivery of necessary material.
  • Coordinate program activities under the guidance of the Program Director.
  • Effective management and respond to information and/or document requests.
  • Compile and disseminate material/documents related to programs activities.
  • Manage confidential information in a sensitive and professional manner.
  • Compile with Occupational Health and Safety Standards.
  • Coordinate and plan meetings including preparation of agendas, minutes, work plans and project charters.
  • Maintain payroll information in Kronos.
  • Utilize standard office equipment and order routine supplies.
  • Performs other duties as required.

Qualifications

  • You have 23 years of administrative experience
  • Postsecondary diploma/degree or certificate in Office Administration or related field required
  • Experience in utilizing Mindmerge and Sharepoint preferred
  • Accurate and efficient keyboarding and wordprocessing skills.
  • Extensive calendar management experience
  • Experience in minute taking and filing
  • Knowledge of medical terminology an asset
  • Desktop design experience preferred
  • Experience working in health care setting preferred
