Major Responsibilities:

  • Monitors the work performed by various contractors and dealers, ensuring compliance with deliverables agreed to within contracts and warranties
  • Ensures that proper recovery is obtained from warranty repairs, follows up with manufacturers on recalls and defects and processes the necessary reports and documentation
  • Ensures that work is carried out in accordance with regulations, legislated and guidelines of the City, Ministry of Labour, Ministry of Transportation, and compliance with Commercial Vehicle Operations Registration (CVOR)
  • Prepares reports and reviews monthly contracted services and warranty claims and approves for processing Identifies contractual and manufacturer deficiencies and takes appropriate actions
  • Prepares reports to track warranty repairs Maintains database of service cards and vehicles
  • Ensures clients adhere to the maintenance schedule
  • Reviews and approves repair quotations from repair facilities when required
  • Liaises with Fleet Maintenance Supervisors in order to monitor requirements, trends and future needs Liaises with Fleet Procurement to provide feedback for vehicle and equipment specification improvements Participates in the review of maintenance costs and contracts awarded
  • Ensures that each City vehicle or equipment under contracted maintenance is maintained to meet the preventative maintenance schedule on an ongoing basis
  • Performs analysis for random inspections
  • Carries out audits and onsite inspections to insure all repairs meet the requirements set out in the contract agreement Prepares documents for RFQ's and RFP's
  • Updates Fleet maintenance (M5) database

Key Qualifications:

  • Extensive experience with Original Equipment Manufacturer dealerships
  • Experience in customer service delivery environment, with the ability to establish effective working relationships with city employees and contractors
  • Considerable experience in utilizing a variety of software programs including MS Word, MS Excel and M5

You must also have:

  • Ability to communicate courteously and effectively, both orally and in writing.
  • Extensive technical knowledge of vehicle maintenance service schedules to verify proper documentation of repairs for warranty claim and coverage
  • Extensive knowledge of vehicle and equipment maintenance, components and operations.
