Sales Assistant Job Duties:

  • Maintains and keeps up to date promotional and customer database.
  • Supports sales team members by tracking, investing, data research, proposal building assistance and report sales information.
  • Updates senior management by consolidating, analyzing, and forwarding weekly action summaries including reports from sales database program.
  • Provide assistance with proposals and quotes that are being sent to Clients.
  • Assist sales staff by providing sales data, market trends, forecasts, account analyses, brochure materials, and new product information.
  • Resolves promotional allowance, rebate, and pricing discrepancies by researching promotion details and regular and special prices; forwarding resolution to sales team and ensuring accurate pricing is being used in all proposals.
  • Provides product, promotion, and pricing information by clarifying customer request; selecting appropriate information; forwarding information; answering questions.
  • Prepare sales projection and budgeted data to accounting.
  • Forwards samples by entering request; arranging shipment; notifying customer.
  • Maintains customer database by inputting customer profile and updates, preparing and distributing monthly reports.
  • Work with sales team members to Prepare sales presentations by compiling data; developing presentation formats and materials.
  • Tracks sales expenses of each sales team member by reviewing, consolidating, analyzing, and summarizing expenses; forwarding for reimbursement.
  • Updates job knowledge by participating in educational opportunities.
  • Accomplishes department and organization mission by completing related results as needed.
  • Coordinates year end customer gifts / xmas cards.

Executive Assistant Responsibilities:

  • Answering phones and routing calls to the correct person or taking messages.
  • Ensuring the overall general areas of office are in good order and tidy each morning to start the day. Ie. Chairs in boardroom all pushed in, paper in copier, staples in staplers, dishes in lunchroom organized, no clutter left out.
  • Researching and conducting data to prepare documents for review and presentation by corporate CEO, committees, and executives.
  • Helping prepare for meetings.
  • Accurately recording minutes from meetings.
  • Greeting visitors and deciding if they should be able to meet with executives.
  • Using various software, including word processing, spreadsheets, databases, and presentation software.
  • Reading and analyzing incoming memos, submissions, and distributing them as needed.
  • Making travel arrangements for executives.
  • Performing office duties that include ordering supplies and managing a records database.
  • Experience as a virtual assistant.
  • Coordinating project P/L reports budget.
  • Provide general administrative support.

Skills and Qualifications:

  • Proven experience as an executive assistant
  • Indepth understanding of entire MS Office suite, CRM systems, SharePoint, HubSpot.
  • High school diploma.
  • Ability to organize a daily workload by priorities.
  • Must be able to meet deadlines in a fastpaced quickly changing environment.
  • A proactive approach to problemsolving with strong decisionmaking skills.
  • Professional level verbal and written communications skills.
