This role is pivotal in supporting the Subdivision and Development Appeal Board (SDAB) and the Community Standards and License Appeal Committee (CSLAC), two quasi-judicial tribunals.

As a Meeting Coordinator, you will be responsible for providing complex administrative support to the SDAB and CSLAC.

Your role will encompass a wide range of duties crucial to the hearing processes of these tribunals including staying in compliance with the Municipal Government Act, Weed Act, City of Edmonton bylaws and established policies and procedures.

Your success will be measured by your ability to achieve results in a respectful, inclusive and service-minded way.

With a focus on the City of Edmonton's Cultural Commitments to Safe, Helpful, Accountable, Integrated and Excellent, you will:

  • Provide information and instructions to individuals filing appeals in accordance with legislated requirements
  • Work directly with the public and respond to enquiries in a timely fashion
  • Provide information on legislated requirements around appeal deadlines, hearing dates and decision deadlines
  • Explain the hearing process to Appellants and provide them with general information on how to prepare for a hearing
  • Process appeals and notify all parties of the appeal
  • Create and maintain electronic appeal files and ensure that all documents, materials and evidence are included in appropriate files
  • Create Google Meet calendar events and YouTube live stream placeholders for the hearings
  • Schedule hearings in POSSE, prepare hearing notices and mail them in a timely manner
  • Process withdrawals or postponement requests and notify appropriate parties
  • Generate hearing agendas and post to the website
  • Facilitate the hybrid hearing process by monitoring parties who want to participate and ensuring that the parties are properly signed in and that hearings run smoothly
  • Attend the hearing and prepare a summary of the submissions provided at the appeal hearing
  • Format and finalize decision and post to website or CanLII
  • Gather hearing files and other materials for decisions appealed to the Court of Appeal or Court of King's Bench
  • Identify and troubleshoot IT issues and work with appropriate City departments to resolve and test issues
  • Prepare remuneration for Board Members
  • Monitor and propose changes to POSSE processes and Tribunals website
  • Perform other related duties as required

Qualifications:

  • Minimum of five (5) years progressively responsible and diversified related office experience
  • Experience in a quasijudicial environment is an asset
  • Possession of SDAB Clerk Designation (Alberta Municipal Affairs training certificate) or ability to obtain
  • Ability to make decisions in a fast paced environment and to prioritize work in accordance with legislated timelines
  • Ability to use appropriate judgement and make independent decisions in a selfdirected environment
  • Knowledge of applicable legislation, policies, and procedures is an asset
  • Ability to train, coordinate and review work of other clerical staff
  • Excellent communication skills, including verbal and written
  • Excellent analytical, and technology skills
