Reporting to the Project Manager or designate, the Site Administrator will be responsible for completing the daily tasks associated with the day-to-day activities of the onsite project office. Duties and responsibilities include but are not limited to:

Assist with JDE site timekeeping, asset recovery, site attendance, and audit process of daily timesheets as needed Assist with onboarding and offboarding employees; site orientation Collation of safety documents such as safety training tickets, site inspections, observation, training matrices, and coaching reports Support and track completion of management system required reads
Update site organization charts Preparation of Productivity, Daily, Weekly, Monthly Reports; update schedule reports Maintain site scorecard data and prepare on a monthly basis Follow project-specific filing systems, interfaces, and general document control processes, record retention policies and standards; manage the flow of information accordingly Communicate relevant information and standards to internal and external stakeholders when required
Respond to telephone, in person, or electronic inquiries or forward to appropriate person Process incoming and outgoing mail, manually or electronically; photocopy and collate documents for distribution, mailing, and filing Sort, process, verify receipts, expenditures, forms, and other documents Key in, edit, proofread, and finalize correspondence, reports, statements, invoices, forms, presentations, and other documents; record meeting minutes Assist Project Managers and Superintendents as requested Other project related administrative duties as required

EDUCATION REQUIREMENTS

High School diploma Completion of Office Administration program is an asset

WORK EXPERIENCE REQUIREMENTS

Minimum 3 years of previous administrative experience, preferably in construction industry

SKILLS, ABILITIES, AND OTHER REQUIREMENTS

Intermediate experience with Microsoft Office (Word, Excel, Outlook, Teams, PowerPoint) Effective communication skills with individuals at all levels of the organization Able to work efficiently as part of a team as well as independently Able to learn new systems and processes Self-motivated, with a strong desire to succeed Enjoy working in a fast paced, multi deadline, team oriented environment Sense of urgency and ownership over assigned tasks Ability to multi-task and with strong problem identification and resolution skills Follows company policies and procedures Operates with integrity, discretion and maintains confidentially at all times Travel to onsite/project office will be required from time to time
