Position Summary


Reporting to the Academic Chair and/or Operations Manager, the incumbent is responsible for the provision of support to students, Faculty and Chair's.

The Program Officer provides administrative support to their portfolio, including administration, recruitment, data capture and database updating, customer service, calendar production and program development and quality.


This is achieved by providing excellent customer/student servicing with respect to part-time learning needs, providing support to the Academic Chair's, part-time Faculty and all other stakeholders, portfolio administration and support of enrolment growth through a variety of activities.

In addition, the position is responsible for gathering data in support of program analysis and development, environmental analysis, enrollment and labour market research conducted by Chairs / Managers.


Responsibilities

  • Provides information and guidance to prospective and current students on admission requirements, assessment testing and professional accreditation requirements as well as internal academic processes, requirements and services. The incumbent also provides information and/or guidance to students on programs and courses and associated learning tools i.e. myCentennial and eCentennial
  • Responsible for administration of refunds, services, processes, and follow up/through.
  • Liaises with academic records department and assists students in resolving problems with their records i.e. grades entry, transcripts.
  • Verify grade and administer process for grade changes and incomplete grades.
  • Communication to students and implementation of College policies/procedures.
  • Provides notification to students/faculty when course(s) will not run, providing alternative offerings where possible.
  • Reviews enrolment data on a daily basis to determine section viability
  • Finalizes class cancellation process by updating appropriate databases, determining if combining sections is possible and informing academic staff and students of decisions
  • Participates in recruitment activities/events within the College, with partner organizations or the community.
  • Collects data/information, monitoring and tracking of enrolment, trending data, retention rates and cancellation rates for review and analysis by Management Team.
  • Supports Chair in quality processes such as Centennial program quality review, competitive analysis and labour market information and new program development.
  • Updating banner course information and creating new sections/courses.
  • Additional duties as required

Qualifications/Experience
3-year diploma or degree in Business Administration, Office Administration or equivalent
Minimum 3 years of related experience in customer service or within a student service environment
Extensive knowledge of the transportation industry with regards to training and industry needs
Experience and knowledge of apprenticeship systems and ministry guidelines in the transportation sector
Demonstrated problem-solving and interpersonal skills, with the ability to work with both internal and external stakeholders
Experience using MS Office software (such as MS Word, Excel)
Flexibility to shift priorities and negotiate a change in priorities/deadlines
Ability to work under pressure, dealing with people in a courteous manner with frequent interruptions
Strong organizational skills and effective oral and written communication skills
Experience and understanding of working effectively in a diverse environment
Ability to undertake occasional transfer to another campus
