Position Description:
Temporary Assignment - approximately 16 weeks
***Provides full administrative support to the Manager(s) of 9 AMH and 10 AMH
Specific responsibilities include:
providing support around magerial responsibilities related to human resources; labour relations; recrutiment/hiring/disciplinary/retention processes; payroll completion; complaints management; meeting coordination i.e.
scheduling and minute taking; statistics completion; maintenance of Community Treatment Orders binder; record keeping; supply ordering; and overseeing of regular day-to-day office functions.
Provides support to the Unit Educator and Charge Nurses from 9 AMH and 10 AMH. Coordinates agendas, scheduling meetings; taking minutes for numerous standing committee meetings; and other duties as assigned. Excellence in customer service is essential. Must have ability to work independently and also as part of a multi-disciplinary team.QUALIFICATIONS
- Grade 12 Diploma plus up to 2 years postsecondary in medical office administration
- Medical terminology certificate required
- Intermediate skill level is required for MS Word and Excel and spelling
- Typing speed must be at an intermediate skill level
- Intermediate skill level is required for medical spelling and medical terminology
- Clerical testing may be required as part of the selection process
- Computer knowledge in Explorer, Intranet, STAR Navigator, Outlook, E-Learning, MyStJoes, SIR, Publisher, PowerPoint, Transport, PMM, E-Way, EPIC, WIN-XS.
- Two years related experience
- Demonstrated knowledge of the Mental Health Act
- Excellent organizational and problemsolving skills, with the ability to set priorities and work with mínimal supervision
- Maintain excellent interpersonal relationships while handling multiple tasks, conflicting priorities and frequent interruptions
- Excellent verbal and written communication skills are required
- Good work performance and a good attendance record are essential
RESPONSIBILITIES
Some duties include the following:
- Books meetings and appointments for managers and records all events in manager's Outlook calendar
- Submit all building service work orders for 9 AMH and 10 AMH
- Maintains attendance log and notifies manager if absence is greater than 3 days so managers can inform the EHO. Assists with payroll completion. Faxes timesheets and corrections to payroll associate.
- Assist manager's with completion of staff work schedules and vacation schedules
- Produce documents for manager's such as WORD documents and Excel graphs
- Print, file and peruse numerous reports (biweekly payroll control reports, expense reports, sick time taken reports, etc.) Brings errors and omissions to the attention of the managers
- Provides support to Nurse Manager and Nurse Educator. Daily duties include answering phone calls, handling/sorting mail, filing, photocopying, faxing and scanning documents. Inputs data into computer programs.
- Order all unit supplies, capital equipment, office supplies. Have signing authority for nonstock items up to $1000, stores items and stationary.
- Verifies agency bills, interpreter bills, phone bills and manager's Visa statements and all unit expenses
- All other duties as assigned
