Position Overview:

Penny Appeal Canada is seeking a proactive and dedicated Community Engagement Officer to join our team in the Greater Toronto Area. The successful candidate will be responsible for managing and engaging our volunteer base, ensuring smooth operations and fostering a positive and impactful volunteer experience. This role requires excellent organizational skills, proficiency in G-Suite, and the ability to effectively manage volunteer communications and schedules. The Community Engagement Officer will directly report to the Director of Fund Development, Eastern Canada.


Key Responsibilities:

  • Volunteer Management:
  • Create plans to attract volunteers from various communities, professions, and backgrounds. This includes devising outreach and marketing strategies using events and campaigns. Implement inventive approaches to boost new volunteer enrolment for Penny Appeal Canada, leveraging regional data for maximum impact.
  • Proficiently use G-Suite to send out Google Calendar invites to volunteers and manage schedules.
  • Conduct a cleanup of the Team Orange email to ensure organized and efficient communication.
  • Develop and maintain a comprehensive volunteer database for efficient tracking and management.
  • Manage the Team Orange Community on WhatsApp, respond to volunteer inquiries, monitor and regulate chats, and attract potential volunteers through various channels.


  • Training and Support:
  • Plan and execute volunteer appreciation events to ensure retention and recognition.
  • Create training materials and programs for volunteers, including video and onsite training sessions.
  • Conduct orientation sessions to familiarize volunteers with the organization's mission, policies, and procedures (e.g., Clover tutorials, fundraising goals).
  • Provide ongoing support and guidance to volunteers, addressing any issues or concerns promptly.
  • Monitor volunteer performance and offer conflict management and prevention support.


  • Event Coordination:
  • Arrange food and beverages for volunteers at events to ensure their comfort and satisfaction.
  • Engage with external community organizations, schools, and online platforms to spread awareness about volunteer opportunities and PAC's mission.


  • Placement and Scheduling:
  • Match volunteers with suitable roles based on their skills, interests, and availability.
  • Create and manage volunteer schedules to ensure efficient and effective deployment of volunteer resources.


Qualifications:

  • Proficiency in GSuite (Google Docs, Sheets, Calendar, etc.).
  • Strong organizational skills and attention to detail.
  • Excellent communication and interpersonal skills.
  • Ability to manage and moderate WhatsApp group chats.
  • Previous experience in volunteer coordination, particularly with Islamic charities, is an asset.
  • Strong conflict management and prevention skills.
  • Ability to engage with diverse community organizations and volunteers.
  • Valid Ontario driver's license and access to a vehicle.
  • Ability to start soon and hit the ground running with minimal training.


Assets:

  • Experience volunteering or working with Islamic charities.
  • Previous coordinator experience.
