Women's Ultrasound Clinic of Ottawa is seeking a skilled and versatile Medical Office Assistant. This is a regular full-time opportunity. As a regular full-time employee, hours of work are 34 hours per week. The Company's standard business hours are 7 hours (Monday to Thursday) which are typically 8:00am to 4:00pm and 6 hours on Friday from 8:00am to 3:00pm.

Our ideal candidate is the first point of contact for all patients and plays a vital role in the delivery of Exceptional Patient Care. In this role you will be responsible for all operations pertaining to the front desk. You will ensure all patients entering the clinic feel welcomed.

RESPONSIBILITIES

  • Register and confirm patient information is correct upon check in (name, DOB, PHN, address and phone number)
  • Confirm patient preparation is adhered to
  • Examine all requisitions to ensure accuracy of details including exam booked as well as referring physician’s name, location, and any additional information required
  • Print labels and affix to all patient consent and screening forms
  • Ensure requisition and any other forms (consent, screening) have been scanned into the patient’s file
  • Monitor faxes
  • Process all payments prior to all exams, including privately paid exams that are normally covered by OHIP
  • Inform Lead Technician of late patient arrivals
  • Conduct all opening duties of the clinic
  • Ensure daily schedule matches the Ultrasound Schedule
  • Waitlist review and call any patients that can come in earlier if applicable
  • Recalling patients for follow up appointments as required
  • Ensure the addition of any new physicians or clinics when needed in RIS
  • Monitor cleanliness of clinic
  • Booking of protocolled exams

QUALIFICATIONS

  • Medical Office Administration certificate required
  • Previous medical clinic experience preferred, particularly Diagnostic Imaging
  • Ability to maintain patient confidentiality
  • Keen attention to detail
