Position Description:Reporting to the Manager, Documentation Services, the Documentation Services Specialist is responsible for drafting, negotiating, and administering leasing related documents for the Canadian (and if required, the USA) portfolio of properties and for providing support to the members of the leasing team. The ability to draft complex leasing documentation and critique precedent clauses and documents as required is essential. The ability to analyze different lease forms is imperative.Key Responsibilities:▪ Draft/negotiate lease agreements, extensions of the lease, offers to lease and all ancillary documents (e.g., consents, assignments, storage, parking, amendments, etc.) all in accordance with approved company formats and once appropriate approval required within the company has been obtained.▪ Resolve complex leasing scenarios from a documentation standpoint.▪ Provide interpretation of leasing documents/clauses.▪ Support Leasing Managers preparing letters of intent, and other correspondence that may be required during the leasing process and provide documentation related guidance to Leasing, Property Managers and Tenant Services Coordinators.▪ Preparation and distribution of Lease Abstracts which includes entry of lease terms into the Yardi.▪ Ensure all leasing documents are filed electronically in accordance with company policy.▪ Update leasing reports and databases as required.▪ Due diligence including corporate searches and credit checks.Knowledge, Skills and Experience Required:▪ Minimum 5 years of previous experience in drafting, negotiating, and administrating commercial leases. Must have knowledge of lease terminology and understand applicable clauses.▪ Must possess strong communication skills in French and English – both written and oral.▪ Must be able to set priorities and assure that deadlines are met.▪ Proven ability to understand both external and internal perspective and the impact on the Company.▪ Must have strong drafting skills in both French and English; ability to effectively modify precedent clauses and documents as needed. Must possess the ability to focus on detail in documentation.▪ Demonstrated excellent interpersonal and team skills.▪ Must be capable of processing a large volume of documentation in a timely manner (with due regard to time-sensitive situations) while still providing a high level of service to internal/external contacts.▪ Must have the ability to analyze the impacts of clauses on budget and performance.EDUCATION1.A paralegal degree is an asset.2.A university degree in business administration or law is preferred but not essential.3.Must be proficient with Word, Excel, and Microsoft Outlook.
