OFFICE MANAGER

AllSpace is a growing US West Coast Company that specializes in consulting, design and production of booth for trade shows, events, and retail environments. AllSpace is looking for an Office Manager to join our team at our offices in Montréal. As the Office Manager (working onsite), you will play a crucial role in ensuring smooth operations of our Montreal Office. You will be responsible for overseeing administrative tasks, supporting staff and maintaining an efficient and productive work environment and the role will develop as the company expands. The ideal candidate will be proactive, detail-oriented and possess excellent communication and organizational skills. Previous experience from the role and/or the industry as well as proven project management skills is an advantage.

KEY RESPONSIBILITIES

Depending on the qualifications of the candidate, key responsibilities may include:

Office Management

- Manage day-to-day office operations including supply management, facility maintenance and vendor relationships

- Coordination of logistical activities (meetings, appointments, travel arrangements etc.)

- Implementation of office policies and procedures to enhance productivity, organization and cost-effectiveness

- Organization and execution of company events and activities as well as internal communications

Team Management and HR

- Supervision and training of the internal project manager teams and project management support if needed

- Development and implementation of project management tools and processes

- Employee monitoring (administrative management, payroll and benefits, disciplinary procedures etc.)

- Support and development of HR functions including recruiting, training and maintaining employee records

- Onboarding and supporting new employees

Project Management of Internal and External Projects

- Development and execution of project plans in cooperation with management and employees

- Coordination and communication between all internal and external project stakeholders

- Resolution of problems and conflicts that arise during project execution

- Evaluation of project results, preparation of evaluation reports, and monitoring of client feedback

- Participation and or support in project management

QUALIFICATIONS

- Bachelor’s degree in Business Administration, Management, or a related field preferred

- Proven experience as an Office Manager or in a similar administrative role

- Strong organizational and time-management skills with the ability to multitask effectively

- Excellent written and verbal communication skills (English is prerequisite and French is an advantage)

- Ability to work independently and as part of a team

- Detail-oriented with a high level of accuracy in work

- Strong problem-solving skills and the ability to handle confidential information with discretion

- Valid passport to travel to USA a few times per year

- Residence in Montreal/Greater Montreal Area
