The Opportunity

As a Licensed Administrative Assistant , you'll be the backbone of a high-performing financial planning team, providing expert administrative support, ensuring seamless client experiences, and helping maintain efficient operations.

Key Responsibilities:

  • Be the go-to expert for clients, financial planners, and external partners, offering proactive support via phone, email, and in-person interactions.
  • Stay ahead of the game by preparing key documentation, generating reports, and keeping financial planners updated for client meetings.
  • Own the process of client account transactions, including contributions, withdrawals, pre-authorized payments, and portfolio rebalancing.
  • Ensure smooth operations by monitoring pending paperwork, tracking transfers, and maintaining accurate client files.
  • Dive into the details with data input, portfolio reviews, and ensuring all compliance documentation is up to standard.
  • Keep things running efficiently with general administrative tasks that support a fast-paced financial planning team.

Qualifications:

  • 3+ years of experience in an administrative based position within the financial industry.
  • Post-secondary education in Business, Finance, or a related field.
  • Highly preferred completion OR active enrollment in industry courses, such as:
  • Canadian Securities Course (CSC)
  • Canadian Investment Funds Course (CIFC)
  • Conduct and Practices Handbook Course (CPH)
  • Wealth Management Essentials (WEM)
  • Strong knowledge of administrative processes and investment procedures.
  • A keen eye for compliance , securities regulations, confidentiality, and risk management.
  • Tech-savviness , with experience using financial planning software and Microsoft Office Suite.
  • Excellent communication skills , both written and verbal, to provide professional and knowledgeable support.
  • Organizational excellence , with a sharp attention to detail and the ability to prioritize tasks effectively.
  • Problem-solving prowess to anticipate and resolve challenges proactively.
