Fonctions et responsabilités :
- Fournir un soutien proactif à la gestion des dons pour le président-directeur général et le chef des opérations et du développement, y compris le suivi des actions, l'envoi de lettres et de reçus aux donateurs, et l'établissement de documents d'engagement de dons ;
- Rédiger, réviser et mettre en forme une variété de courriers nécessaires à la reconnaissance appropriée des dons ;
- Organiser et convoquer des réunions, veiller à la préparation des ordres du jour et des procès-verbaux, et suivre l'évolution des points d'action ;
- Aider à la rédaction des accords de donation, des propositions et des documents internes relatifs aux dons importants ;
- Gérer les registres des dons reçus et s'assurer que tous les détails pertinents sont corrects afin de garantir le traitement des dons en temps voulu ;
- Aider à la planification des professeurs invités et des conférences publiques, y compris la préparation des documents, les invitations et l'organisation des voyages ;
- Aider à l'organisation d'événements liés aux donateurs, tels que des réunions en personne, des événements de reconnaissance, etc ;
- Assurer la réception et recevoir les dons par téléphone ;
- Assister avec les donations In memoriam et Tribute ;
- Toutes les autres tâches connexes.
Qualifications, compétences et aptitudes
Certificat ou diplôme en administration ou dans un domaine connexe ;
Trois à cinq ans d'expérience pertinente ;
Capacité à faire preuve de discrétion, de jugement et de tact lors de la résolution de problèmes et du traitement d'informations hautement sensibles et confidentielles ;
Solides compétences interpersonnelles, avec la capacité de travailler dans un style collaboratif ;
Souci du détail ;
Maîtriser la suite Microsoft Office : Word, Excel, PowerPoint et Outlook ;
Une expérience de Raiser's Edge ou d'un autre logiciel de gestion de la relation client à but non lucratif est considérée comme un atout ;

Title: Administrative Assistant

Responsibilities:
• Provide proactive gift management support for the President and CEO and the Chief Operating and Development officer, including tracking actions, sending letters and receipts to donors, and completing gift commitment documents;
• Write, edit and format a variety of correspondence required for the appropriate acknowledgement of donations;
• Organize and convene meetings, ensure the preparation of agendas and minutes, and track progress of action items;
• Assist in the drafting of donation agreements, proposals, and supporting internal documents relating to major gifts;
• Manage incoming donation logs and ensure all relevant details are correct to ensure timely processing of donations;
• Assist with the planning of Visiting Professors and Public Lectures, including document preparation, invitations, travel arrangement;
• Assist with donor related events, such as in-person meetings, recognition events, etc;
• Provide reception coverage and take donations received by telephone;
• Assist with In memoriam and Tribute donations;
• All other related tasks.
Qualifications, skills and aptitudes:
Completion of a Certificate or Diploma in Administration or any related field;
Three to five years of relevant experience;
Ability to use discretion, judgment and tact when trouble shooting and in handling highly sensitive, confidential information;
Strong interpersonal skills, with the ability to work in a collaborative style;
Detailed oriented;
Be proficient with Microsoft Office Suite: Word, Excel, PowerPoint, and Outlook;
Experience with Raiser’s Edge or other non-profit CRM software is considered an asset;
