As we scale, we’re looking for a Travel Operations Coordinator to join our founding team and take the lead on making these tours seamless and exciting for our clients. Position Overview: This isn’t just any travel logistics role—it’s the heart and soul of what makes our trips memorable. The Travel Operations Coordinator will take charge of everything behind the scenes, ensuring that every trip is a once-in-a-lifetime adventure. From securing unique accommodations and managing transportation to curating activities that make our tours stand out, you’ll be the architect of each tour’s flow. We're looking for someone with high energy, attention to detail, and an obsession with travel logistics who’s ready to grow with us and bring new ideas to the table.
Key Responsibilities:
1. Accommodation Management
- Scout out and secure unique, athlete-friendly accommodations that align with our brand’s adventure vibe.
- Own the entire booking process—from researching and getting RFPs to
negotiating the best rates and confirming every detail for an unforgettable stay.
- Build lasting relationships with hotel partners and keep them engaged with our growing company and needs.
2. Ground Transportation Coordination
- You’re the mastermind behind how our clients get from point A to B. Research top-notch transportation providers and negotiate terms.
- Maintain direct communication with drivers, anticipate schedule changes, and ensure that every bus, driver, and vehicle is set to provide reliable transport, no matter where in the world we’re headed.
3. Activity and Meal Reservations
- Curate unforgettable local experiences that give our clients a true taste of the destination. Book unique activities and one-of-a-kind meals that fit our adventurous, community-driven ethos.
- Collaborate with local venues to design group-friendly menus that showcase the country’s authentic cuisine, thoughtfully balancing cost considerations with exceptional quality to deliver a memorable experience.
4. Client Services and Administration
- Be the go-to contact for clients, guiding them through everything from registration to final trip prep. Collect and manage participant details, payment schedules, and all travel documents, creating a streamlined experience.
- Set up group communication channels (WhatsApp), craft custom tour information packages, and provide hands-on support before, during, and after the tour. We want every client to feel cared for and ready to dive into the adventure
5. Marketing and Communications:
- Create and distribute a periodic newsletter to engage clients, highlight upcoming tours, share travel tips, and build brand loyalty.
- Collaborate with leadership on crafting email campaigns and marketing materials that drive bookings and grow our client base.
- Monitor and respond to client inquiries across communication platforms (email, social media, etc.), fostering strong relationships and a sense of community.

- Language Requirements: Fluency in English is required for communication with our international partners and clients; proficiency in French is an asset.
