The Role

Reporting directly to the Office Manager, the Inventory Assistant plays a critical role in managing inventory operations efficiently. The ideal candidate will possess meticulous attention to detail, strong organizational skills, and effective communication abilities to ensure smooth inventory flow and customer satisfaction.

What You Will Be Doing

  • Receive Inventory into the Computer System:
  • Accurately log incoming inventory using computer systems or inventory management software
  • Verify received items against purchase orders for accuracy and completeness
  • Organize inventory in designated storage areas for easy access and retrieval
  • Communicate any discrepancies or damages to relevant departments for resolution
  • Maintain detailed records of inventory transactions and update databases in real-time
  • Release Sales Orders:
  • Review sales orders to determine product availability in inventory
  • Retrieve items based on sales order requirements
  • Coordinate with shipping and logistics departments for timely order delivery
  • Update sales order status and notify stakeholders of order fulfillment
  • Troubleshoot Serial Number/Previously Sold Item Errors:
  • Investigate and resolve discrepancies related to serial numbers or previously sold items
  • Collaborate with sales and customer service teams to address specific issues
  • Utilize inventory management software to track item movements
  • Conduct inspections and audits to identify irregularities
  • Provide training on proper handling of serialized inventory items
  • Inventory Management and Delivery Processing:
  • Approve incoming deliveries by reviewing against purchase orders
  • Address booking discrepancies and resolve issues with sales and administrative teams
  • Generate reports and pull lists for accurate picking and packing
  • Check stock levels and arrange offsite stock for delivery
  • Update invoices and prepare for release post-delivery

To be successful in this role you must have

  • Basic computer skills and proficiency in inventory management software
  • Proficiency in Excel, including data manipulation and analysis
  • High-speed and accurate data entry skills
  • Attention to detail and accuracy in inventory tracking
  • Strong organizational and prioritization skills
  • Good communication skills
  • Ability to work independently and in a team
  • Basic mathematical skills
  • Previous experience in inventory management preferred
