St. Paul’s Foundation is seeking an energetic, collaborative Planned Giving Associate to join our busy Planned Giving team. You will lead an integral part of the Foundation at an exciting time in our history: we’re on the cusp of building an incredible new hospital, research complex, and health campus.

You are a trained professional with a keen eye for detail and a demonstrated ability to contribute to, and participate in, a positive working environment with tact, diplomacy, and a service-oriented attitude. You have the ability to oversee administration, management, marketing and stewardship of the Estate Giving portfolio for St. Paul’s Foundation and can act as subject matter expert for gift and estate matters across the Foundation.



Primary Responsibilities:

  • Proactively manage gift administration for all estate donors from the initial notification to completion, including: communication with executors, lawyers, trust officers, other professionals, and family members.
  • Review and comment upon estate accounts, review and revise releases and other required legal documents and facilitate stewardship and recognition of estates.
  • Ensure data integrity of estate information in the donor database and make timely updates to estate trackers, ensuring all deadlines are met.
  • Conduct analytics on estate portfolio, including generating reports for senior management.
  • Identify issues, analyze and coordinate with external parties, particularly legal counsel, other beneficiaries and other charitable organizations to facilitate gifts from donors‘ estates.
  • Work to prepare for estate litigation, including preparing memos, recommendations for strategy and settlement offers, participation in settlement negotiations and mediations to resolve claims against estates.
  • Provide leadership and support to an Estate Giving team of direct reports.
  • Actively manage a portfolio of current and prospective EG donors and provide ongoing relationship management.
  • Play a key role in the development of the annual business plan and overall budget for the EG program.
  • Lead the strategy for the development and integration of marketing plans, donor communications, and creation of net new materials for the EG program.
  • Develop a program to engage professional advisors to increase their understanding of St. Paul’s Foundation, encourage their partnership in sharing and/or developing expertise about charitable giving vehicles, and encourage their support and advocacy for St. Paul’s Foundation.
  • Act as internal resource on gift & estate planning for all Foundation teams.
  • Keep current on tax aspects of estates, trusts and other charitable gifts and keep informed about new legislation and revenue rulings affecting such gifts.


Qualifications:

  • Completion of post-secondary education in a relevant field; Bachelor of Law degree or STEP Canada designation preferred; or an equivalent combination of education, skills and experience.
  • 5+ years’ relevant experience in estate administration, ideally at a non-profit organization, or within a trust company or law firm in Canada.
  • Strong attention to detail and accuracy
  • Ability to identify strategic solutions to complex problems.
  • Excellent verbal and written communications skills.
  • Sound judgment, tact, and the ability to handle confidential and sensitive material with discretion.
  • Adheres to applicable privacy laws as well as CAGP, AFP and SPF standards of discretion and confidentiality.
  • Intermediate proficiency with MS Office applications, specifically Word and Excel.
  • Experience with Raiser’s Edge NXT or a similar database is a significant asset.
  • Able to work occasional weekends and evenings.
