Responsibilities

:

Hangar Operations and Administration:

Support the Operations Manager/Chief Pilot and Maintenance Manager in all operational activities.  Support Aviation operational staff with day-to-day flight planning requirements. Carry out assorted duties associated with office management for the day-to-day operational needs of the flight department.  Generate monthly and quarterly operational reports and provide analysis on usage. Assist accounting in the generation of Monthly and Quarterly Budget reports. Assist with Hangar management. Assist with project oversight as it relates to the Hangar and on-site systems. Act as liaison for guest aircraft when visiting hangar and assist in meeting their needs. Coordinate Accounts Payable and act as an initial point of contact for account inquiries. Maintain strict confidentiality of activities and appropriate discretion. Managing the corporate aircraft schedule, Providing appropriate schedule change communication to flight crew and maintenance engineers, Assist with flight planning details and required documentation, and, Act as liaison with the businesses in coordinating/scheduling flights, handling inquiries to the schedule or general questions on flight details. Co-ordinate charter and commercial flights, if/when required.

Travel Coordination:

Assist with dispatch of the corporate aircraft, to include: Managing the corporate aircraft schedule, Providing appropriate schedule change communication to flight crew and maintenance engineers, Assist with flight planning details and required documentation, and, Act as liaison with the businesses in coordinating/scheduling flights, handling inquiries to the schedule or general questions on flight details. Co-ordinate charter and commercial flights, if/when required.

The ability to work independently and demonstrate strong leadership capabilities. The ability to thrive in a fast-paced environment with multiple tasks being managed concurrently. Must be able to think clearly in high pressure situations.  Good judgment and interpretation of situations which require further action or decisions. Proactive approach to managing all activities. Must be flexible and adjust to sudden change in plans, recognize the resulting implications/impact and realign as required. Understanding and appreciation of the use of discretion and the confidential nature of the position. 

Required education, experience, knowledge, skills, and abilities:

Community college diploma Undergraduate degree. Experience in the dispatcher/scheduler/flight follower sector of corporate aviation considered an asset.  Experience booking corporate travel, corporate aircraft, and accommodations is considered an asset. Minimum 3-5 years’ experience in corporate travel. Other relevant experience and/or education will be considered. Previous work experience to demonstrate superior communication (written and verbal), problem solving skills and a keen eye on attention to detail. A successful candidate would demonstrate a strong work ethic, be highly organized, self-motivated, and able to manage their time based on priorities and deadlines. Team player with a positive attitude, creativity, and the ability to provide outstanding customer service and value to all partners.
