Job Summary: 

The Graduate Admissions and Registration Coordinator provides support to graduate applicants, students, and faculty by processing applications for admission with a focus on assessing post-secondary qualifications for domestic and international applicants. Incumbent will also complete ongoing registration duties, provide support and advice to graduate students and faculty.

Nature of work: 

Reporting to the Manager, Graduate andPostdoctoral Affairs, the incumbent will provide support to graduate applicants, faculty and staff, and registration assistance to current graduate students.
Responsibilities/accountabilities: 

Graduate Admissions

Provide detailed credential assessments for domestic and international applications Complete GPA calculations and conversions Determine if authenticity of academic credentials Respond to inquiries from prospective graduate students and applicants Evaluate and review non-standard admission cases and provide admission recommendations, in collaboration with the Manager and/or Associate Dean of Graduate Studies Review and ensure faculty recommendations meet graduate admissions quality assurance standards and policies Run admission acceptance and refusals and release decisions to graduate applicants and graduate faculties Provide enrolment services to newly accepted students to ensure a seamless transition from admissions to registration Maintain graduate student visa/study permit and citizenship documentation to ensure eligibility of enrolment Interpret and evaluate transcripts and complete GPA conversions for graduate scholarship eligibility

Registration/Enrolment Services

Advise students on sensitive registration matters, academic regulations and/or processes (such as conflict within student-supervisory relationships, leaves of absence, registration changes, appeals, etc.) and process registration requests Load fees and review fees for students in flat-fee programs, each term Advise graduate program directors and graduate program staff on procedures, policies, and best practices and assist in making informed registration decisions for graduate students Ensure that appropriate course registration and related activities take place in a timely manner, while continuously providing excellent service to all clients Process requests for Ontario Visiting Graduate Students, Canadian University Graduate Transfer Agreements, Letters of Permission, and transfer credit requests

Other Duties

As a key member of the School ofra Gduate and Postdoctoral Studies, this position may be required to represent the unit at events such as Orientation, Three-Minute Thesis and Open Houses. Other duties as assigned.

Required Education: 

Completion of a Formal Post-Secondary/College/UniversityProgram of Three Academic Years or Equivalent

Required Experience: 

3-5 years’ experience in a university setting required. Experience in a registrarial setting and/or in graduate education preferred. Experience in database maintenance and producing reports and statistics. Experience working in an office environment with high volumes of work requiring independent judgment. An equivalent combination of education and relatedexperience may be considered.
