Salary Range: $64,308.22 to $87,005.24

Location: 7 Fultz Campus 

Monday to Friday, 8:30 am to 4:30 pm (35 hours/week)

The Coordinator, Admissions supports the Associate Registrar, Admissions in the direction and implementation of tasks and responsibilities for the Admissions team. The position provides supervision in admission activities, assessment criteria, customer service expectations, improving procedural efficiencies, and in the support of new initiatives and ensures the delivery of quality admissions functions and services in accordance with the practices of the Registrar’s Office.An expert communicator, the Coordinator, Admissions is responsible for ensuring information and policies are communicated consistently across the Admissions team and MITT, supporting positive relationships across the institution. The Coordinator, Admissions is a resource on admissions policy and procedures and ensures consistent and equitable admissions assessments and offers for MITT’s post-secondary and English for Academic Purposes programs. 

Responsibilities include but are not limited to:

Manage and supervise personnel and complete all administrative functions for staff (i.e., talent management; performance management, which includes annual reviews/discipline; training and professional development; and time management).Responsible for the operational, day-to-day management of the individuals reporting to them and completes all administrative functions for staff (i.e., talent management; performance management, which includes annual reviews/discipline; training and professional development; and time management).Makes recommendations to the Associate Registrar, Admissions, on strategies to ensure fair distribution of workload while maintaining Admission Officer and Admission Assistant motivation and job satisfaction.Assists in tracking individual and team progress, resource allocation and reallocation as adjustments are required. Supports training, re-training, and cross-training of new and existing staff; Trains new Admissions Officers and Admissions Assistants and assists with training of other Admissions and Recruitment staff.Coordinates continuous training to support the development of best practices for consistency, efficiency, and effectiveness.Utilizes excellent communication, problem-solving and analytical skills to lead and motivate individuals to work cohesively in a team environment. Represents the position and priorities of Admissions within the department and externally to institutional stakeholders.Accountable for the application of constructive, critical, and independent unbiased judgment and must recognize the need for departures from established policies and procedures and the ability to deal with such appropriately.Oversees and maintains consistent and equitable assessment and decision making. Supports the admissions team with assessment of complex cases guides appropriate admission decisions.Decides on the admission or rejection of many unique cases where no established policy or guidelines exist. In other instances, consults with the Associate Registrar, Admissions on complicated cases to ensure equitable treatment of all applicants.Makes decisions on first level admission appeals; communicates decisions professionally and in timely manner.Oversees the Letter of Acceptance (LOA) verification process with Immigration, Refugee and Citizenship Canada (IRCC).Acts as the first point of contact on the Admission team for questions/inquires other departments.Works with the Associate Registrar, Admissions to establish objectives for the team, communicates those objectives to staff, monitors progress and plans for continuous improvement.Ensures accuracy and uniformity of information sent to applicants throughout the admission cycle by monitoring communications including email communications and comprehensive packages that are sent during the acknowledgment, offer, and confirmation stages of the admission process.Corresponds with individual applicants, educational institutions, government departments, and embassies concerning unique problems.Keeps current with secondary and post-secondary developments in Manitoba, Canada and internationally; maintains up-to-date knowledge on high school systems and the senior secondary school curricula for a variety of key target countries, including their school year, exam timelines, and grading practices.Monitors trends and changes in high school systems, and recommends changes to admission policies and procedures that will assist the college to remain competitive with national and international educational institutions.Maintains digital fluency in a wide array of software applications and college-wide systems such as the online application and application portal, CAMS Student Information System, and MITT webpage.Maintains a thorough knowledge of the Institute’s mission and mandate, admission requirements and program offerings, services, and facilities.Evaluates and recommends exceptions and variances to institutional procedures on matters related to admissions.Analyzes operating practices, makes recommendations to the Associate Registrar, Admissions and others, and implements changes, resulting in improvements to service quality, staff productivity and systems efficiency.Works closely with the Business Analyst, Admissions to create new standard operating procedures (SOP’s) and modify existing SOP’s as needed. Analyzes error reports and establishes procedures to correct errors.Creates admission documents to assist the recruitment team with their outreach strategies.Represents the college at on- and off-campus events, acting as a vital resource to interpret MITT admission requirements, equivalencies and by providing consistent and accurate information.Actively engages in ongoing professional development activities related to management of personnel, credential assessment, international and domestic education.Undertake other tasks and responsibilities as assigned by Associate, Registrar, Admissions.

Required Qualifications and Experience:

A combination of related education and experience may be considered.

An undergraduate degree in business administration or a related field. Two or more years of experience managing or leading a team, preferably in a post-secondary environment. A minimum 3-4 years coordination experience in a fast-paced customer service environment (preferably in a post-secondary admission setting) with increasing levels of responsibility will be considered.Substantial assessment experience and a detailed knowledge of Canadian and international education systems and curricula.Experience managing concurrent projects and deadlines.Demonstrated success in supporting/leading change efforts. Demonstrated ability to work collaboratively, build consensus, maintain confidentiality, and ensure sensitivity to the needs and interests of a variety of stakeholders, and support the functioning of a diverse team.Proven track record of exercising responsible and knowledgeable judgment in the decision-making process governing the admission of students.Demonstrated analytical skills to understand complex situations, predict outcomes, and determine best course of action.Must be conversant with education systems of Canadian provinces and territories and how to evaluate these and foreign systems at both the secondary and post-secondary levels. Experience assessing secondary and post-secondary transcripts (domestic and international).Intermediate knowledge of CAMS Enterprise or other Student Information Systems, online applications and admission systems.Understanding of strategic enrolment management concepts and academic policies and processes that contribute to a quality undergraduate/post-graduate experience.Proven track record maintaining quality service and team productivity through effective planning, monitoring, and coaching, resulting in improvements to service quality, staff productivity and systems efficiency. Strong computer skills including experience with Microsoft Outlook, Word, Excel, PowerPoint and other software such as Adobe.

Preferred Qualifications and Experience:

Experience in a post-secondary admissions setting Knowledge of IRCC regulations, processes and documentation
