Job Description

We are seeking a detail-oriented and proactive bilingual Payroll Specialist to join our Montreal finance team and help us maintain accurate and timely payroll processes.  

The Payroll Specialist will be responsible for managing and processing payroll for all employees, ensuring compliance with company policies and North American regulations. This role requires a strong understanding of payroll systems, excellent organizational skills, and the ability to handle sensitive information with discretion. 

Reports to : Financial Controller  

Work in collaboration with : HR, Employees 

Responsibilities 

  • Accurately process bi-weekly payroll for all Canada and US employees, including salaried, hourly, and contractor invoices.  
  • Collects and track timesheets and audit them for discrepancies and logging errors. 
  • Stay up-to-date with payroll regulations. Ensure compliance with labor laws, tax regulations, and company policies. 
  • Maintain and update employee payroll records, including changes in pay rates, benefits, and other compensation details. 
  • Prepare and submit payroll tax filings, including quarterly and annual reports. Manage withholdings and ensure proper payment of governmental taxes. 
  • Process benefits enrollments and deductions, including health insurance, retirement plans (RRSP, 401(K), HSA) and other employee benefits. 
  • Perform regular reconciliation of payroll accounts, insurance carrier invoices and resolve any discrepancies. Prepare and review payroll reports for accuracy and completeness. 
  • Respond to employee inquiries regarding payroll, benefits, and deductions. Provide clear and timely assistance and resolve any payroll-related issues. 
  • Maintain and update payroll software and systems. Collaborate with HR and ADP representatives to ensure system integrity and efficiency. 

 


Qualifications

  • Minimum of 5 years of experience in payroll processing or a similar role. Experience with ADP Workforce Now is a plus. 
  • Strong understanding of payroll procedures, tax laws, and employment regulations. 
  • Proficient in Microsoft Office Suite, especially Excel. 
  • Excellent attention to detail and accuracy. 
  • Strong organizational and time management skills. 
  • Effective communication and problem-solving skills. 
  • Ability to handle confidential information with discretion. 
  • Proficient with ERP systems  
  • Project-based industry knowledge, an asset 
  • Ability to work effectively in a fast-paced multi-show production environment 
  • Ability to collaborate with various team members 
  • CPP (Certified Payroll Professional) or similar certification is desirable.
